About This Role

At EMCOR UK, we’re seeking a Mailroom Specialist to spearhead administrative support functions, ensuring seamless mail and parcel operations while embodying our values of professionalism, dependability, and customer service.

You’ll be pivotal in maintaining accurate service delivery and end-user satisfaction, often liaising between vendors, departments, and clients.


Key Responsibilities

Core Duties:

  • Distribution Managment:

    • Receive, sort, and distribute incoming mail, parcels, and railway tickets efficiently.
    • Book and track couriers via the approved DHL/K caracteriza system or equivalent.
    • Adhere to service level agreements (SLAs) for delivery timescales, including DHL Synchronized Company to Company ranges.
  • Outward Correspondence:

    • Gather and prepare outgoing mail/parcels for dispatch from designated locations.
    • Book outgoing shipments via same-day or overnight couriers (including DHL, Pytchetty, or local carriers).

  • Operational Support:

    • Guide customers and colleagues through suspected omitted delivery queries.
    • Join the Mail Team in all routine activities, including goods-in, courier desks, and mailroom logistics.
    • Assist the Reprographics Team when required, e.g., during periods of absence.
  • Audit and Record Keeping:

    • Conduct mailroom audit checks as needed to maintain compliance.
    • Record incoming/outgoing mail, courier details, and parcel scans/carer data accurately in designated ACCPAC or PMX systems.
  • Customer Engagement:

    • Provide a point of contact for troubleshooting, inquiries, or special requests.
    • Handle telephone and email requests professionally, logging and retaining all related records.
  • Team and Client Relations:

    • Engage proactively with users and stakeholders, fostering trust and rapport.
    • Draft and coordinate responses as needed for mail-related incidents.
  • Security and Compliance:

    • Highlight any security concerns, delays, or operational risks immediately to designated management.
    • Showcase a confidential approach, ensuring data protection in line with PSD1, GDPR, Oyster, ATM, and Railway Group compliance protocols.
  • Development and Growth:

    • Attend provided staff training sessions, inductions, and development opportunities.
    • Strive for continuous improvement, keeping abreast of emerging management system tools.

Diverse Work Duties:

  • Protocols to clean FM printer paper trays.
  • Eradicate expired mail card lists (if applicable).
  • Learn TAPS for an additional role.

Requirements

Essential Skills and Experience:

✔ Robust time management and organisational abilities to juggle high-output deadlines. ✔ Attention to detail with a meticulous demeanour under pressure. ✔ Exceptional communication (written and verbal) for end-user, courier, and stakeholders. ✔ Proficiency with email clients, Microsoft Office, and basic mail/parcel tracking tools. ✔ Ability to work independently and flexibly, both collaboratively and solo. ✔ Manual handling strength (capable of lifting/moving up to 12kg or more a day).
