National Planning and Dispatch Manager

As a result of our continued success, we are undergoing significant expansion across all areas of the business. We are now looking to appoint a National Planning and Dispatch Manager to lead and develop our O&M Planning, Dispatch and Logistics function.
This role oversees the Planning and Dispatch Team Leader and Coordinators, ensuring service levels and performance targets are consistently met, while prioritising customer safety and satisfaction and maximising engineer efficiency and productivity.
This role is instrumental in driving:
- Customer satisfaction and retention
- Improved operational efficiency
- Embedding a culture of continuous improvement
What You Will Be Doing

Provide direction, support, and guidance to Team Leaders and Coordinators
- Day-to-day systems support within the department
- Ensure clear roles and responsibilities
- Confirm tasks are completed accurately and successfully

Take ownership of regional performance in:
- Productivity
- SLA adherence
- Minimising overdue work

Ensure:
- Attendance confirmation with customers
- Handling of queries and escalations

Lead and facilitate daily planning calls with:
- Field teams
- Other operational teams

Manage and ensure adherence to:
- Customer portals
- All customer requirements

Supervise:
- Follow-up work and visits
- Completion of paperwork
- Parts ordering, tickets, and quotations

Monitor:
- Service metrics
- Performance trends
- Areas for continued improvement

Develop, monitor, and report on progress via:
- Monthly report automation with supporting commentary

Implement and improve:
- Service delivery processes
- Tools and procedures

Coordinate with key stakeholders to ensure:
- Smooth workflow
- Seamless cross-team communication

Attend and contribute to department management meetings, providing:
- Updates on key risks
- Department issues
- Continuous improvement initiatives

Communicate company strategic growth plan to the team and encourage their involvement

Escalate:
- Service standard risks
- Operational risks to leadership immediately upon identification

Offer support and guidance to:
- Internal
- External teams

Manage team performance through:
- One-to-one meetings
- Regular team meetings
- Disciplinary procedures, if necessary
Who We Are Looking For
Qualifications & Experience
- GCSE (A-C) grades in Mathematics and English
- Customer service experience is essential
- Previous experience liaising with field-based engineering teams
- Client management experience is essential
Core Competencies & Skills

Technical Knowledge:
- Familiarity with electronic Customer Service systems (Planning & Dispatch, Gantt view planners)
- Experience with customer compliance processes (Purchase orders, invoicing, certification)
- Awareness of ISO 9001, ISO 14001 & ISO 18001
- Proficiency in Microsoft Office Suite

- High level of confidentiality
- Tact and diplomacy in all interactions
- Ability to work with deadlines and minimal supervision
