Neurodiversity Business Manager

Job Overview

CNWL is currently looking for an experienced Business Manager to work with our newly structured Adult ADHD Service, based at The Kingswood Centre in Kingsbury, London. This is a full-time post, though open to consider part-time applicants, has a hybrid working model. The role is supported and supervised.

Main duties of the job

  • To be responsible for the continual review and evaluation of all administrative systems and procedures in order that improvements and developments can be made.
  • To ensure ADHD administrators are always focused on the delivery and maintenance of high-quality patient care and services within clinical services.
  • Another primary responsibility of the post holder is to compile, evaluate, and interpret data to guide decision-making and enhance performance within clinical and administrative services.
  • This role involves creating reports on important performance data, identifying trends, and providing practical insights to enhance resource management and improve service efficiency.
  • To be responsible for ensuring clear communication to clinical and administrative services.

The postholder is to provide clear leadership in the administration service within the Neurodiversity service, ensuring efficient and robust processes are in place to support service users, reporting directly to the Operational Manager.

Working within our Neurodevelopmental Service offers an exciting opportunity to be part of a developing and high-demand service supporting individuals with Autism and ADHD. The service is committed to delivering safe, effective, and person-centred care, while continuously improving access and pathways to meet growing demand.

The successful candidate will play a key role in providing administrative support, ensuring the effective delivery of services, and supporting workforce development. Working closely with clinical leads and multidisciplinary teams, the role will contribute to improving service performance, strengthening governance, and enhancing patient outcomes.

Detailed Job Description And Main Responsibilities

Administration Team and Process Management

  • Plan, coordinate, and manage the workload of the administration team, monitoring workflow to ensure a timely, efficient, and effective service to clinical teams.
  • Manage rota planning and flexible working arrangements to maintain service cover and ensure workflow is effectively managed at all times.
  • Develop and maintain a staffing plan that reflects service demand, workforce requirements, and budget. Lead recruitment activity, including vacancy review, completion of vacancy panel documentation, participation in interview panels, and induction of new staff, to minimise reliance on agency workers.
  • Plan and oversee administrative processes, information requests, and service communications on behalf of the Operational Manager, senior managers, and clinical leads, ensuring actions are coordinated and reported appropriately.
  • Continuously review and evaluate administrative systems and procedures, identifying opportunities to improve efficiency, effectiveness, and service quality.
  • Supervise and manage the administrative team, ensuring tasks are completed accurately and within required timescales to meet service needs.
  • Monitor workload pressures and staffing gaps, reallocating work as needed to maintain safe staffing levels and effective working practices, while supporting the delivery of high-quality patient care and services.
  • Ensure clear and effective communication across clinical and administrative teams and develop administrative procedures in response to changing service needs, including the delegation of urgent work with short deadlines.
  • Lead the coordination of patient and carer requests for access to medical records, ensuring correct processes are followed, applicants are kept informed, and requests are completed within statutory timescales.
  • Ensure adequate levels of stationery, office supplies, clinical equipment, and materials are available to support administrative and clinical teams, with secure storage and effective stock control arrangements in place.
  • Use service data to monitor operational performance, identify trends, risks, and capacity issues, and support timely decision-making and service improvement.
  • Ensure administrative and performance data is accurate, complete, and submitted on time, and work with colleagues to address data quality issues and improve reporting processes.

Data Analysis

  • Be responsible for collecting, processing, and combining data from Tableau and SystmOne to create reports and visualisations that support referral management, clinical activity, and administrative activity within the Neurodiversity service, providing accurate and timely insights for decision-making and service improvement.
  • Oversee the administration and coordination of new assessments, ensuring accurate tracking of progress toward targets. Analyse assessment data to identify trends and gaps, and prepare comprehensive reports for management meetings to drive improvements and ensure targets are met.
  • Oversee and supervise the administration and coordination of clinics and services, ensuring accurate tracking of DNA (Did Not Attend) and clinic cancellation data. Analyse trends and patterns in these metrics and prepare detailed reports for discussion at operational meetings to inform decision-making and improve operational efficiency.
  • Ensure regular reports are produced on key metrics related to clinical and administrative performance, service delivery, and clinical outcomes.
  • Identify trends and provide data-driven insights to inform strategy and support the effective allocation of resources.
  • Responsible for ensuring all clinical statistical data is collated and entered accurately to enable accurate and efficient reporting of Key Performance Indicators. For example, review Tableau weekly to obtain KPI data and collate it from this data system. Where required, ensure administrative staff are trained to the level expected for the services they support.
  • Develop automated processes where appropriate for regular report production to improve efficiency, accuracy and consistency.
  • Work closely with clinical and operational teams to ensure data is accurate, relevant, and actionable to support continuous service improvement.
  • To work closely with colleagues to resolve any data quality issues, ensuring the data used in analysis is accurate and reliable.
  • To communicate complex data findings clearly and simply to non-technical staff, helping them make informed decisions to improve patient care and services.
  • Provide information as required to comply with requests under Freedom of Information and Access to Records.

Education And Qualifications

Essential criteria

  • Educated to degree level or relevant experience of working at a similar level in a specialist area

Previous Experience

Essential criteria

  • Knowledge and experience in project management
  • Experience in providing professional guidance and advice on administrative systems and processes
  • The ability to produce reports and statistical data for senior management
  • Understanding techniques used to manage performance and the ability to create robust management and development plans
  • Experience of the delivery of objectives and priorities within a constantly changing environment
  • Experience dealing with people at all levels, including external agencies
  • Evidence of robust decision-making with an ability to act on one's own initiative and independently
  • Experience of effective communication with service users with mental health problems and effective communication with carers
