Nightshift Helpdesk Coordinator

Application Manager - Facilities Operations (Cafm System)

About The Role

Working Pattern:

  • Week 1: Wednesday, Thursday, Friday
  • Week 2: Wednesday, Thursday, Friday, and alternate Saturday

Shift & Work Arrangement: Standard hours: 7pm – 7am (hybrid working)

Key Responsibilities

  • Customer Service & Enquiry Handling: Serve as the principal point of contact for customer enquiries, incoming calls, and new work requests on OCS CAFM Concept System.

  • Work Allocation & Coordination: Act as the first point of contact for the engineering workforce and sub-contractors, including:

    • Allocating engineering tasks
    • Managing diaries for regional operations
    • Updating and closing out Reactive, PPM, and Quoted jobs in CAFM
  • Procurement & Order Management: Raise purchase orders for reactive works and obtain ETA updates from sub-contractors.

  • Project Support: Collaborate with Project Managers across government contracts, including:

    • Requesting quotations
    • Raising POs
    • Creating site Health & Safety files
    • Cost tracking for job variations

  • Database & Compliance Maintenance: Update databases for quotations, engineering overtime, and statutory compliance certifications upon request

Requirements

✔ Legal Compliance: Must have the right to work in the UK

✔ Customer Service:

  • Strong customer service skills
  • Proven experience with facilities management helpdesk roles
  • Preference for CAFM Concept System experience

✔ Technical Skills:

  • Microsoft Office proficiency (Word, Excel, Outlook)*
  • Strong MS Outlook & calendar management capabilities

✔ Key Competencies:

  • Outstanding organisation and planning skills
  • Comprehensive understanding of property-related issues
  • Exceptional telephone etiquette
