Stock Management Officer (Temporary/Rotational Position) Location: Oxide/OUHT (Oxford University Hospitals NHS Foundation Trust) Reports to: Supply Chain Team / Line Manager

About the Role

You will support the Stock Management Change Programme, transitioning all stock locations onto the Trust’s Inventory Management System. Your core responsibilities include:

  • Maintaining accurate stock records and inventory accuracy through structured cycle counting and discrepancy resolution.
  • Ensuring real-time stock control through same-day processing, distribution, and KPI delivery for Supply Chain operations.
  • Supporting Supplies Chain Team operational cover, including managing ordering, stock receipts, storage and distribution across clinical and non-clinical departments.

Additionally:

  • Act as a dedicated contact for units state/ward equivalents and NHS Supply Chain Operations, expediting deliveries as required.
  • Audit stock levels, obsolescence risks, and dispensing logistics, ensuring adherence to Inventory Management (IM) system guidelines.
  • Work collaboratively with ward/department staff and Supply Chain colleagues to address line-maintenance discrepancies and operational challenges.

Key Responsibilities

Stock Control & Accuracy

  • Conduct scheduled cycle counts across all clinical/non-clinical units.
  • Investigate and resolve stock discrepancies, escalating significant risks to the Supply Chain Supervisor.
  • Monitor and maintain stock-level accuracy in the IM system while supporting efficient warehousing principals.

Workflow & Distribution

  • Check and process deliveries on-site, ensuring same-day internal distribution to relevant departments.
  • Coordinate electronic ordering via barcode scanning, POP data downloads, and NHS Supply Chain interfacing.
  • Ensure compliance with system guidelines, including ordering pathways for amber/red flags on exceptional items.

Ward/Department Support

  • Advise on storage and documentation within NHS physical & digital standards, liaising with Ward Sisters/Department Managers.
  • Maintain clear communication and interaction with healthcare services teams to input FRET Holding Stock Requirements (FRS).

Requirements & Essential Criteria

  • Strong background in stock/central supplies, logistics or hospital operations with familiarity of NHS Supply Chain principles preferred.

  • Experience handling inventory systems (ERP/Segmentation tools) and process mapping/improvement processes.

  • Confirmed up-to-date Security Clearance if applying for supplements that include these locations. No information can be shared.

  • Adequate experience logistics/stock operations within higher education or national & advisory operations if unspecified.

  • Ability to liaise ward staff/dept stakeholder representatives and document variance reporting.
