OFFICE / ADMIN ASSISTANT
Location: The Clapham Grand, London
Type: Full Time - Monday to Friday, 9:00am – 5:30pm
Reports To: Venue Director & General Manager and supports Event Manager

About You:
We're looking for a highly organised and proactive Office / Administrative Assistant to support the smooth day-to-day running of our office and event operations.
We need someone who wants to learn the in & outs of what makes The Clapham Grand tick and understands the importance of making sure all the small details are exactly right. You care about everything from finding the perfect way to input info to a spreadsheet (being able to glance at data and understand it straight away makes everyone’s lives easier and happier) to taking that extra little bit of time making a drinks menu on Canva look extra fun (we’re an independent venue with personality - that’s why our audiences and performers love us!)
You are a strong administrator and ideally have experience working with ticketing platforms like Dice, DesignMyNight, Fever & Eventbrite or have worked with other customer facing softwares and platforms. You will be handling ticket allocations, multi-platforming shows and will be across data entry for sales reporting, all of which requires great attention to detail. You’re confident with Google Drive, spreadsheets, Canva & emails.
As much as this is an admin job - it’s also an essential part of making The Clapham Grand the fun, creative & well running venue it is. The care at every level is what makes The Grand so magic. The Office/Admin Assistant is based in the Main Office and having that solid, enthusiastic support to the rest of the team is vital.

Pay: £25K - £28K per year, depending on experience

Key Responsibilities:
- Maintain the day-to-day organisation and upkeep of the office.
- Provide administrative support across the business as required.
- Manage and monitor the venue email inbox, responding to enquiries promptly and directing communications where appropriate.
- Assist with ticketing administration, including updating ticket allocations, ticketing data input and creating show listings on ticketing sites.
- Support the ideation and preparation of events, ensuring materials, documentation, and logistics are in place.
- Creating basic content in Canva including show time information for social media and slideshows of upcoming events.
- Curating and sending info & follow up emails to customers via Octopus using pre-made templates.
- Act as receptionist for the main office, welcoming visitors, answering telephone calls, and providing a professional first point of contact.
- Keep internal records, spreadsheets, and administrative systems accurate and up to date.
- Provide general support to the wider team to help ensure events and daily operations run smoothly.

Person Specification:
Essential
- Experience using Google Workspace (Drive), particularly Google Sheets.
- Competent using Canva to produce simple promotional or administrative materials.
- Excellent organisational skills with strong attention to detail.
- Strong written and verbal communication skills.
- A proactive, flexible approach with a willingness to support different areas of the business.
- Previous experience in an office, hospitality, venue, or events environment.
Desirable
- Previous experience in an office, hospitality, venue, or events environment.
- Confident using a range of digital systems and administrative software.
- An interest in live events, entertainment, or popular culture.
- Experience working with ticketing systems or booking platforms.
