Role Description

The Office Administration Assistant is a full-time hybrid role based in Syston, with some flexibility to work from home. This position supports the smooth day-to-day operation of the office by handling administrative tasks such as managing correspondence, maintaining records, and organizing files. The role includes answering phone calls, responding to email inquiries, scheduling appointments, and assisting with the preparation of documents and reports. The Office Administration Assistant will liaise with care staff, clients, and external partners to ensure timely communication and accurate information flow. This role may also involve supporting senior team members with basic executive administrative tasks and contributing to continuous improvements in office processes.

  • Strong administrative and clerical skills, including Administrative Assistance and Clerical Skills, with the ability to manage documents, records, and office systems.
  • Professional phone etiquette and clear Communication skills, with confidence in handling inquiries from clients, families, and partners.
  • Experience providing Executive Administrative Assistance or similar support to managers or leaders, including scheduling and basic document preparation.
  • Proficiency with common office software (e.g., word processing, spreadsheets, email, calendars) and comfort learning new digital tools.
  • Excellent attention to detail, time management, and organizational skills, with the ability to prioritize tasks in a busy environment.
  • Positive, empathetic attitude and commitment to confidentiality, particularly when handling sensitive client information.
  • Previous experience in health, social care, or a related service environment is an advantage but not required.
  • Relevant education or training in business administration, office management, or a comparable field is beneficial.
