Office Administrator
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The successful candidate will be responsible for managing daily administrative tasks, supporting office operations, and ensuring smooth communication across departments. This role offers an excellent opportunity for individuals with strong organisational skills and experience in office management to contribute to a professional and efficient working environment.
Duties
- Manage office correspondence (emails, phone calls, and post) efficiently and professionally.
- Perform general clerical duties, including photocopying, scanning, faxing, mailing, and filing.
- Prepare and maintain accurate records, reports, and filing systems (both digital and paper-based).
- Support the operations team in scheduling, allocating, and tracking jobs.
- Handle general administrative tasks such as data entry, document preparation, and updating spreadsheets.
- Maintain and update drivers’ accounts on the system, ensuring all information is accurate and up to date.
- Carry out relevant checks, including reviewing tracker data, to confirm consistency with the information on record.
- Double-check job groups to ensure all booking and scheduling details are correct.
- Assist with invoicing, billing, and basic financial record-keeping when required.
- Ensure compliance with company policies and procedures.
- Monitor vehicle compliance – ensuring all vehicles are up to date with MOT, road tax, insurance, servicing, and maintenance.
- Keep reminders and schedules for vehicle renewals, inspections, and repairs, and liaise with garages/service providers when required.
- Provide ad-hoc administrative support to management as needed.
- Manage and maintain office supplies inventory.
- Coordinate and schedule appointments, meetings, and conferences.
- Handle incoming and outgoing correspondence.
- Provide administrative support to staff members as needed.
- Familiarity with Google Suite (Docs, Sheets, Slides).
- Ensure the office environment remains tidy and well-organised.
- Support team members with various clerical tasks as needed to promote operational efficiency.

Qualifications
- Proven office experience or administrative experience is essential.
- Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
- Experience with Sage or similar accounting software is desirable.
- Excellent organisational skills with the ability to prioritise tasks effectively.
- Good typing speed and accuracy for data entry purposes.
- Demonstrated professionalism with excellent phone etiquette.
- Ability to work independently whilst also being a team player.
- Strong attention to detail and organisational abilities are vital for success in this role.
