Office Administrator / Secretary
Location: London (on-site)
Salary: £35k - £40k
Hours: Monday–Thursday 9:00am–5:30pm, Friday 9:00am–5:00pm
Working Pattern: Fully office-based
About the role
We are seeking a highly organised and adaptable Office Administrator to join a busy professional services team. This is a varied, hands-on position offering exposure across multiple areas of the business. You will support senior stakeholders, manage day-to-day office operations, and assist with client onboarding and compliance-related processes. You will be part of a collaborative team where ownership, teamwork, and high standards are key. The role requires someone proactive, detail-oriented, and able to stay calm and focused in a fast-paced environment, including when handling repetitive tasks. This is an excellent opportunity for someone looking to develop quickly within a business where their contribution will be visible and valued.
Key Responsibilities
- Coordinate client onboarding processes, including AML documentation, identity verification, and risk assessments
- Maintain accurate filing systems and ensure statutory records are kept up to date
- Uphold high standards across all administrative and compliance-related processes
- Support onboarding of new employees and assist with internal workflows
- Liaise professionally with internal teams and external stakeholders
- Format documents and communications for internal and external use
- Manage incoming post, office supplies, and general office operations
- Assist with events, social activities, and wider team initiatives
- Identify opportunities to improve processes and efficiency

What We’re Looking For
- Strong attention to detail, particularly when handling data and documentation
- Ability to follow compliance processes accurately while working efficiently
- Versatile and adaptable approach, willing to take on varied responsibilities
- Excellent organisational skills with the ability to manage multiple priorities
- Positive, professional attitude with a proactive mindset
- Ability to work independently and as part of a team
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Strong verbal and written communication skills
- Previous administrative or customer-facing experience is beneficial but not essential
