Role Overview
Matic Building Services Ltd is seeking a highly organised and proactive Service / Office Administrator to support the day-to-day operation of our Service Department.
Working across our Mechanical, Electrical, and Fire & Security service teams, you will play a key role in coordinating service activities, managing documentation, scheduling engineers, and ensuring customers receive a professional and efficient service. This is a fast-paced role requiring excellent organisational skills, strong attention to detail, and a customer-focused approach.

- Manage day-to-day administrative tasks within the Service Department
- Handle incoming telephone calls and respond to customer enquiries
- Process service requests and accurately raise jobs within the job management system
- Schedule and coordinate service appointments for engineers
- Review engineers' reports for accuracy and completeness before issuing to customers
- Maintain certification records, ensuring all documentation is correctly logged and stored
- Issue service reports and certificates promptly
- Chase outstanding information from engineers, customers, and subcontractors
- Upload material costs and maintain accurate job records
- Provide service updates and communicate effectively with customers
- Support other departments with general administrative duties as required

Essential Requirements
- Previous experience in an administrative or customer service role
- Excellent organisational and time management skills
- Strong written and verbal communication skills
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Experience using job management systems or CRM software
- Ability to manage multiple tasks and work effectively under pressure
- High level of accuracy and attention to detail
