Office Administrator
Bishops Waltham, Hampshire
Permanent, full time
Salary: up to 28k DOE
Our client, MC Controls, is a privately owned business that specializes in the design, construction, supply, installation, commissioning, and maintenance of HVAC control systems. They pride themselves on offering a high level of customer service and working on a wide range of projects - from large domestic properties through to schools, restaurants, health centres/hospitals, hotels, offices, and even a few British Embassy buildings.
Due to their continued growth, they are now looking for an organized and confident Office Administrator to join their team based in Bishops Waltham, Hampshire. You will be responsible for day-to-day administrative support within the team.
Office Administrator, the role:
- Provide comprehensive administrative support across the business
- Maintain customer records and documentation within the Simpro field service management system
- Coordinate service agreements, engineer schedules, and project activities
- Liaise with engineers to ensure visits, paperwork, and documentation are completed efficiently
- Communicate with customers regarding scheduled visits and service updates
- Review engineer paperwork, identifying and escalating any issues where required
- Manage incoming customer calls and emails, delivering a high standard of customer service
- Build strong relationships with customers, suppliers, and internal stakeholders
- Raise purchase orders and manage supplier invoices
- Process invoicing, payment management, and purchase order reconciliation
- Support credit card reconciliation and business expense management
- Assist with health & safety administration, company compliance, and quality assurance processes
- Support HR administration, including onboarding, holiday records, and company documentation
- Undertake general office administration to support the wider business

- Previous experience within an administration or business support role
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities
- High attention to detail and accuracy
- Confident using Microsoft Office, particularly Word and Excel
- Strong customer service skills with a professional telephone manner
- Comfortable learning new IT systems and software packages
- Able to work effectively under pressure and meet deadlines
- Positive, proactive, and collaborative approach to work
