The Role: Office Assistant (London, On-Site)

We are seeking an attentive, responsible, and accountable Office Assistant to support the London office, ensuring smooth, efficient daily operations. This role is ideally suited to new entrants—experience is welcome, but we emphasise initiative, growth potential, and a willingness to learn.


Responsibilities

  • Ensure overall efficiency of the London office by coordinating daily operations and maintaining a well-organised, welcoming environment.
  • Collaborate cross-functionally with IT, Marketing, and internal teams to streamline:
    • Office services (equipment, utilities, workplace suitability)
    • Procurement and vendor management
    • Company merchandise and asset distribution
  • Partner with external vendors (landlords, suppliers, service providers) to deliver smooth:
    • Workplace maintenance
    • IT infrastructure and setup
    • Procurement and administrative support
  • Support new hires (onboarding) and departing employees (offboarding) by managing:
    • Office access (badges, credentials)
    • Welcome kits and equipment setup
    • Administrative procedures in coordination with IT
  • Oversee office assets, merchandise, and inventory, including:
    • Logistics, storage, tracking, and timely replenishment
  • Coordinate executive visits, client meetings, and internal events with high standards, including:
    • Meeting room bookings
    • Catering logistics
    • Business hospitality arrangements
  • Maintain accurate office records, including:
    • Expense tracking
    • Financial reports
    • Administrative compliance with company policies and budgets
  • Serve as the primary point of contact for office-related inquiries and requests, ensuring proactive troubleshooting and operational excellence.

Required Skills & Qualifications

  • Advanced or native-level English proficiency
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Experience with collaboration tools (Microsoft Teams)
  • Attention to detail with a proactive, ownership-driven approach
  • Strong communication—ability to liaise amiably with colleagues, contractors, and external stakeholders
  • Exceptional organisational skills, with the ability to multitask effectively and manage competing priorities
