Office Assistant C – Department of Integrated Studies in Education (DISE)
Position Summary
Records Management and Archiving
- Organize, sort, label, and archive departmental files and records in accordance with university procedures.
- Prepare materials for storage and maintain accurate records of archived files.
- Assist with the clean-up and organization of departmental records and filing systems.
Undergraduate Advising & Administrative Support
- Issue course permits in Banner and notify students of decisions regarding their requests.
- Work on updating presentation materials.
- Assist with orientation preparation.
Data Entry & Administrative Tasks
- Data entry on departmental and university-wide platforms (e.g., DTA, DCU).
- Assist with creating and maintaining standardized advising handbooks and information databases for new and existing students.
- Support the updating and development of student-facing communications, including written items for the B.A.(Education) newsletter via Envoke.
Website & Documentation Management
- Prepare necessary documentation for website transfer, including organizing and uploading documents.
Office Coverage & General Administrative Support
- Provide office reception and coverage during staff vacation periods and absences.
- Respond to general inquiries from students, faculty, and staff.
- Assist with scheduling, correspondence, and routine administrative duties.
- Support departmental operations and special projects:
- SharePoint site management
- Website editing
- Administrative retreat planning
- Event organization and coordination:
- Departmental meetings
- Instructor meetings
- Program-specific events

Education and Qualifications
Minimum Requirements
- High School Diploma with 2 years of relevant experience in working within an administrative unit.
Additional Requirements
- Must be authorized to work in Canada and willing to work in Quebec.
- Proficiency in English (level # [qualifier] on a scale of 0–4):

Benefits
- June–March contract position (part time, 20 hours/week).
- Hourly rate: $17.17 (fully covered under AMUSE C collective agreement).
- Position dates: August 4, 2026 – February 3, 2027
