About the Role
We’re seeking an attentive and responsible Office Assistant to join our London office (on-site). This opportunity is ideal for those starting their career—while experience is helpful, training will be provided to the right candidate. Key interpersonal traits we look for include accountability, initiative, and a genuine desire to grow.
Responsibilities
- Own and oversee day-to-day office operations, ensuring a well-organized, efficient, and welcoming environment.
- Collaborate with internal teams, including IT, Marketing, and other departments, to coordinate:
- Office operations, workplace services
- Equipment, company merchandise
- Cross-functional initiatives
- Work with vendors, suppliers, landlords, and service providers to ensure:
- Seamless delivery of workplace services
- Office maintenance, procurement, and operational support
- Support HR in onboarding and offboarding, including:
- Coordinating office access, welcome packs
- Managing equipment distribution
- Administrative processes, in partnership with the IT team
- Oversee office assets, company merchandise, and inventory, including:
- Storage, tracking, distribution, and replenishment
- Organise and coordinate:
- Executive visits, client meetings, and internal events
- Meeting rooms, catering, and business hospitality, maintaining high standards
- Maintain comprehensive office records, track expenses, reports, and documentation to ensure compliance and budget adherence.
- Act as the primary point of contact for all office-related requests, proactively addressing operational needs for a smooth-running workspace.

Requirements
- English proficiency: Advanced or higher
- Proficiency in Microsoft Office (Excel, Word, Outlook) and collaboration tools like Microsoft Teams
- Exceptional attention to detail and a proactive, ownership-driven approach
- Strong communication skills with a friendly, approachable attitude toward colleagues and contractors
- Outstanding organizational and multitasking abilities to manage multiple priorities effectively
Nice-to-Have Skills
- Experience in Office Management, Workplace Operations, or Office Administration.
- Background in coordinating office operations, vendors, or facilities in fast-paced environments.
- Familiarity with office budgets, procurement, inventory management, and administrative documentation.
- Experience organising meetings, events, or executive visits with a focus on hospitality.
