Role overview

Buzz Accounting Ireland is looking for an Office & Client Support Assistant to help with the day-to-day running of our Ballymena office.

This is a support role covering reception, administration, client communication and general office support. It would suit someone who is organised, friendly, reliable and willing to learn.

You do not need to be an accountant. The role is about helping the office run smoothly, making sure clients are looked after properly and supporting the team with everyday admin tasks.

Over time, there may be an opportunity for the role to develop into a more senior business support or operations role as the business grows.

Key responsibilities

Reception and client contact

  • Welcome clients and visitors to the office
  • Answer incoming calls and take clear messages
  • Deal with basic client enquiries
  • Book meetings and appointments
  • Help clients understand what information we need from them
  • Pass technical questions to the right person in the team
  • Help create a friendly and professional client experience

Administration

  • General office administration
  • Managing post, scanning and filing
  • Saving documents to the right place
  • Updating client records
  • Preparing basic letters, forms and emails
  • Helping chase missing client information
  • Keeping task lists and trackers up to date
  • Supporting the team with meeting preparation

Office support

  • Keep the office, reception and meeting areas tidy and professional
  • Order basic office supplies when needed
  • Help organise client paperwork and internal records
  • Support the team with day-to-day tasks
  • Help make sure small jobs do not get missed

Client onboarding support

  • Help gather information from new clients
  • Send forms and reminders
  • Track what information is still outstanding
  • Support the team with basic onboarding administration
  • Help make the client journey feel organised and professional
