Office Coordinator - Manchester: Up to £30,000pa plus Performance Bonus & Benefits.
Bibby Financial Services are growing, and we’re looking for an Office Coordinator to join our Manchester Team. The Office Coordinator plays a key role in creating a safe, efficient, and welcoming workplace across multiple sites. This position oversees day-to-day front-of-house activities, manages the BFS helpdesk, coordinates hard and soft FM services, schedules planned maintenance (PPM), and tracks statutory compliance. This key role in driving seamless operations while providing proactive support across additional company locations. This position offers variety and autonomy, with regular and occasionally short notice travel to the Liverpool & Leeds offices to ensure consistent standards across the business. This is a varied and hands-on role combining facilities management, office operations, health and safety, and employee experience.

What you’ll be doing:
- Lead facilities management, office coordination or workplace operations within the Manchester office.
- Greet and direct visitors professionally; introduce guests to their contacts promptly.
- Maintain accurate visitor logs and follow security procedures (issue access badges, signing in, liaise with building/landlord security).
- Assist with meeting room booking system queries and flag issues to line manager.
- Responsible for office security and act as keyholder.
- Coordinate and with the support of the UK Health and Safety & Facilities Manager oversee all vendor activities within the facility, such as, vending, coffee, copy paper supplies, external storage management (Restore Data Shred).
- Manage contractors and suppliers per company standards.
- Onboarding/inductions & Offboarding: Manage office access and building pass administration, new starter inductions in collaboration with local support where applicable.
- Support equipment maintenance and liaise with suppliers for repairs/servicing.
Who are we looking for?
- Experience in multi-site operations or medium/large office environments.
- Exposure to space planning/office moves and minor project coordination.
- Health & safety exposure within an FM environment.
- Front-of-house or workplace experience knowledge.
- Experience dealing with landlords, contractors, and suppliers.
- Strong organisational skills and the confidence to challenge where needed.
- A commercial mindset when it comes to contracts, budgets, and supplier value.
