The Role: Office Coordinator
The Office Coordinator will be working closely with our EA & Office Manager to support the smooth day-to-day running of both our London and Manchester offices, with the role based in London. This is a hands-on, varied role that sits at the heart of our business, ensuring the office is a well-functioning, welcoming, and engaging environment for both employees and clients. This role is ideal for someone who enjoys being the go-to person in the office, thrives on variety, and takes pride in delivering a high-quality experience for others. As a hybrid role, this position will typically require onsite presence 2–3 days a week; while we offer flexible working, there may be times when additional office presence is needed depending on workload and business needs.
Key Responsibilities:
- Office Management & Stock Control
- Manage office stock including equipment, stationery, refreshments, and supplies
- Take ownership of weekly office shopping (e.g. groceries and consumables)
- Oversee incoming and outgoing post, deliveries, and dispatch processes
- Maintain office organisation and ensure shared spaces are clean, stocked, and functional
- Support the management and distribution of company merchandise

Meetings & Workshops Coordination
- Set up meeting rooms, including IT, equipment, and materials
- Book rooms and coordinate schedules for internal and external meetings
- Arrange catering and refreshments where required
- Prepare stationery, print materials, and any required resources
- Greet visitors, manage sign-in processes, and act as a first point of contact
- Provide on-the-day support to ensure meetings and workshops run smoothly

Culture, Events & Office Experience
- Actively participate in the Culture Club, supporting the delivery of internal initiatives
- Assist with planning and organising internal events (e.g. seasonal events, office activities)
- Support the Culture Manager with logistics and on-the-day delivery of events
- Help coordinate and deliver client networking events (set-up, execution, and pack-down)
- Contribute to creating a positive, inclusive, and engaging office environment
- Coordinate internal and occasional client gifting, including ordering, budgeting, and delivery of gifts

Marketing & Conference Support
- Provide ad hoc support to the marketing team for events and conferences
- Prepare, pack, and coordinate the couriering of materials and equipment
- Assist with the logistics behind external events where needed

General Administrative Support
- Act as the first point of contact for office-related queries (in person and via internal channels)
- Keep internal resources (e.g. knowledge bases or office guides) up to date
- Support ad hoc administrative tasks across teams as required
- Build strong relationships across the business to support a wide range of requests
Key Skills/Experiences:
- 1–3 years’ experience in a similar role, such as reception, office coordination, administration, or workplace support
- Highly organised with excellent attention to detail
- Proactive and able to take initiative
- Approachable, friendly, and confident communicating with a range of stakeholders
- A “hands-on” attitude and willingness to get stuck into a wide variety of tasks
- Able to manage multiple small tasks across different teams simultaneously
- Strong sense of ownership and pride in delivering a great office experience
- Comfortable working in a fast-paced and sometimes reactive environment
- A growth mindset
- AI curious and ready to embrace opportunities
