Office Coordinator – Community
$20.40 per hour (BC, Canada)
Overview
Office Coordinators manage routine office and administrative responsibilities of the community while assisting with planning and coordinating community events and activities.
Key Responsibilities
Essential Duties:
- Greets and builds rapport with guests, current, and prospective residents while fielding community comments, suggestions, and complaints for the Community Manager. (Essential)
- Prepare and distribute resident and community communications, including:
- Rule reminders
- Violation notices
- Rent increase letters
- Delinquency notices
- Eviction paperwork
- Lease addendums and renewals. (Essential)
- Collect and post resident security deposits, application fees, rent, inspection fees, or other miscellaneous payments in Yardi; ensure proper accounting records and issuance of receipts. (Essential)
- Reconcile and generate community reports monthly (accounting, traffic, activity logs) while adhering to the Operations Manual. Maintain all files and records. (Essential)
- Handle general administrative duties, including:
- Phone answering and typing
- Copying, faxing, and filing. (Essential)
Additional Responsibilities:
- Review and code invoices/statements for Community Manager approval.
- Schedule clubhouse rentals and process fees.
- Ensure office supplies are stocked and prepare orders.
- Make collection calls for site rental payments and submit bad debt files.
- Process resident move-ins and move-outs per Operations Manual.
- Assist in planning and coordinating resident events within the community.
- Prepare marketing materials (brochures, flyers) for home sales, events, etc., as directed by the Community Manager.
- Refer sales prospects to the Community Manager and log information in Yardi.
- Support prospective residents by checking Sun Homes inventory and reviewing home listings.
- Show homes and assist with rental applications at ** discretion **of the Community Manager.
- Forward customer service queries to the Community Manager promptly.
- Process new move-in incentives for non-Sun Homes deals.
- Coordinate Underwriting approvals for applicant files and track denials.
- Maintain petty cash funds, recording expenditures in appropriate accounts.
- Prepare bank deposit slips and execute deposits; run daily bank deposits.
- Other assignee-duties as required.

Requirements
Required: ✔ High School Diploma or GED ✔ 2 years of administrative experience
