About the Role

We are looking for an organised, proactive, and reliable Office Coordinator to join our busy property management team. This is a varied role where no two days are the same. You will be responsible for keeping the office running efficiently while supporting landlords, tenants, contractors, and colleagues.

The successful candidate will be confident using computers, have excellent communication skills, and be able to prioritise multiple tasks in a fast-paced environment.

Key Responsibilities

  • Answer and manage incoming telephone calls and emails.
  • Provide excellent customer service to landlords, tenants, and contractors.
  • Coordinate maintenance jobs and liaise with contractors.
  • Update and maintain property management software and office records.
  • Organise appointments, inspections, and contractor visits.
  • Prepare letters, tenancy documentation, and reports.
  • Chase outstanding information and follow up with clients where required.
  • Maintain accurate filing systems and digital records.
  • Assist with compliance and administrative tasks.
  • Support the directors and wider office team with day-to-day administration.
  • Help ensure the office remains organised, efficient, and professional.

Essential Skills & Experience

  • Previous office administration or coordination experience.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication.
  • Good knowledge of Microsoft Office (Word, Excel, Outlook).
  • Confident using computers and learning new software.
  • Ability to work independently and as part of a team.
  • Professional telephone manner.
  • High attention to detail.
  • Ability to remain calm under pressure and manage multiple priorities.

Desirable

  • Experience within property management, lettings, estate agency, or housing.
  • Knowledge of Alto or other property management software.
  • Customer service experience.
  • Understanding of compliance and office procedures.
