Position Title: Office Coordinator (London)

Summary/Overview

KBRA is seeking a highly organised and proactive Office Coordinator to support our London office as well as KBRA-hosted and sponsored events. This individual will manage day-to-day office operations, creating a seamless, professional experience for employees and visitors, in addition to assisting with logistics for both internal and external events (and event attendees, as needed).

About The Job

Event Support

  • Assist with tasks in the lead-up to KBRA-hosted and sponsored events, and provide on-site support as needed.
  • Printing and preparing materials, name badges, and supplies for conferences and events.
  • Managing shipping of materials and supplies to and from the office or event locations.
  • Manage event-related orders, stationery, and supply inventories.
  • Source and liaise with suitable vendors for in-office events and initiatives.
  • Coordinate food and beverage orders, liaise with caterers, and manage event setup for internal gatherings (e.g., monthly lunches, breakfasts, after-work events).
  • Support the planning and coordination of quarterly social events.
  • Handle ad hoc tasks and administrative duties related to event planning and logistics.
  • Such other tasks and responsibilities as arise from time to time in connection with the above.

Office Administration

  • Serve as front-of-house support, including visitor management, handling incoming calls for London and managing deliveries.
  • Administer internal catering and supply accounts.
  • Manage office operations, including stationery orders, photocopier paper replenishment, and grocery orders.
  • Liaise with Building Management and cleaning/facilities vendors in London on maintenance issues and send internal communications, as needed.
  • Coordinate with couriers for and manage inter-office shipments.
  • Maintain service schedules for equipment and confirm compliance with OH&S standards.
  • Set up and reset meeting rooms, and coordinate catering for meetings, including quarterly board and audit committee meetings.
  • Support diary management for as needed.
  • Assist with ad hoc administrative or office support tasks across the London office
  • Liaising with Corporate Hotels to renew rates on annual basis.
  • Assist with, and monitor, the London office’s implementation and development of sustainability goals. Stay informed on sustainability developments and tracking, as needed.
  • Such other tasks and responsibilities as arise from time to time as directed by the manager or required in connection with the above.

You will be successful in this role if you have:

  • Be comfortable in a fast-paced environment and able to work independently to meet tight deadlines.
  • Have strong organisation, time-management and communication skills.
  • Be enthusiastic about learning more about the financial services industry and credit rating agencies.
  • Have a keen interest in conferences and events planning.
  • Be comfortable working in a multinational environment.
  • Be proficient in Microsoft Word, Excel, and PowerPoint.
  • Possess either a college degree or relevant work experience.
  • Familiarity with Generative AI tools such as ChatGPT for research, data insights, and general productivity is a plus.
