Office & Facilities Assistant

Administrative Support Officer – Reading Head Office

About the Role

The purpose of this role is to provide a wide range of administrative, office support services and processes that support the Office Manager in the daily running of the Reading Head Office.

Key Accountabilities

Office Support

  • Order stationery as required and monitor stock levels for all office supplies
  • Purchase kitchen / bathroom materials and ensure stock levels are maintained
  • Assist with damage or repair reporting in the building, seeking contractor assistance when needed
  • Purchase provisions and restock the Reading staff tuck shop, ensuring full restocking
  • Arrange external catering for internal or customer meetings as necessary
  • Order and clean up after the Friday staff lunch
  • Set up meeting rooms for external customer meetings, ensuring a positive impression for visitors
  • Manage the daily post, ensuring outgoing mail is franked and ready for collection (including visits to the post office for larger shipments and special deliveries)
  • Carry out kitchen checks, maintain stock, clean coffee machines, and follow food hygiene guidelines
  • Replenish printer paper daily
  • Empty the office shredder and recyclable bins, with proper confidential waste disposal
  • Undertake any required photocopying, laminating, or binding as requested

Health & Safety Administration

  • Update portal with details for all new starters
  • Ensure completion of the daily task list
  • Coordinate annual certifications held by others
  • Monitor first aid boxes across all locations
  • Carry out monthly health and safety checks

Fleet Administration

  • Distribute monthly vehicle checklists
  • Update spreadsheets tracking vehicle changes and notify manager of P11D changes
  • Assist with recording PCNS and accidents

Office Administration

  • Manage and maintain parking permits and telephone directory
  • Print new starter ID cards and visitor passes
  • Willingness to take on ad hoc projects when requested

Skills, Competencies & Experience

  • No prior experience required
  • English and Maths GCSE (or equivalent) desirable
  • Basic office skills expected
  • Strong communication skills (interpersonal, written, and verbal)
  • Full UK driving licence required
