Do you have an organised, proactive, and hands-on approach? This is an excellent opportunity to join a growing organisation where you’ll play a key role in ensuring the smooth running of multiple sites as our Office & Facilities Coordinator.

As the main point of contact for office operations, facilities management, and senior leadership, you’ll help deliver a positive, efficient, and well-maintained workplace experience. Thriving in a dynamic environment, you’ll take ownership of priorities, solve challenges, and keep everything running seamlessly behind the scenes—managing cross-site responsibilities while maintaining high standards.


Key Responsibilities

  • Coordinating operations: Maintain day-to-day oversight of office facilities across multiple sites.
  • Administrative & operational support: Provide proactive support to ensure smooth business workflows.
  • Contractor & maintenance management: Oversee contractors, coordinate works, and improve facilities across locations.
  • Health & Safety compliance: Ensure adherence to legislation, support risk assessments, and conduct site safety checks.
  • Office supply management: Oversee consumables, equipment, and stock levels.
  • Onboarding support: Assist with new starter and visitor orientation to create a welcoming environment.
  • Issue resolution: Proactively identify and address workplace facilities problems for continuous improvement.
  • Calendar & event management: Coordinate diaries, meeting rooms, and scheduling.
  • Diary & travel support: Assist senior leadership with appointments, travel arrangements, and logistics.
  • Procurement administration: Raise purchase orders and manage procurement workflows.
  • Correspondence handling: Manage incoming emails, distributing oractioning staff requests.
  • Internal events: Organise meetings, company activities, and wider business functions.
  • Stakeholder liaison: Engage confidently with internal/external teams, including senior management.

Experience Required

  • Previous experience in administrative, office management, HR, or facilities coordination is essential.
  • Strong organisational skills with the ability to prioritize effectively.
  • Excellent communication (written and verbal).
  • Proactive, resourceful, and confident problem solver.
  • High attention to detail to manage multiple tasks simultaneously.
  • Experience working with senior stakeholders and cross-functional teams.
  • Competence in IT systems and software.
  • Independent worker able to collaborate in a team environment.
  • Full UK driving licence required due to multi-site travel.
