Office Facilities Manager – Arriva UK

About the Role

Arriva, a leading European passenger transport partner operating in 11 countries across the UK and Europe, is seeking an experienced Office Facilities Manager. With 35,000 colleagues facilitating 1.5 billion passenger journeys annually, the company connects people and communities safely, reliably, and sustainably—with ambitious growth and sustainability goals.

In this position, you’ll lead the day-to-day facilities management for Arriva’s UK office locations, prioritising their Doxford Park headquarters while supporting offices in London and Derby.

This hands-on, varied role requires oversight of:

  • Facilities operations and maintenance
  • Contractor management
  • Workplace projects
  • Compliance, procurement, and office services
  • Customer service excellence
  • Employee and visitor experiences

You’ll work remotely (hybrid) on a 3-day-per-week basis, ensuring you deliver maximum value while balancing work-life demands.


Key Responsibilities

Facilities & Operations Management

  • Manage Doxford Park office policies with support for London/Derby locations.
  • Coordinate maintenance activities (planned/reactive), resolving issues to agreed service levels.
  • Develop technical documentation—scopes of work, service specifications, contractor requirements.

Contract & Vendor Management

  • Lead procurement activities, including tender reviews, supplier selection, and service agreement implementation.
  • Oversee the performance of key service providers—cleaning, waste, maintenance, workplace services, and security.
  • Ensure work adheres to safety, compliance, and quality standards.

Workplace Development

  • Support office refurbishments, relocations, and sustained workplace improvements.
  • Implement health and safety measures, contractor risk management, inspections, and compliance records.
  • Promote a strong health and safety culture across a multi-location estate.
  • Advance ESG initiatives, such as utility monitoring, waste reduction, and recycling.

Financial & Operational Excellence

  • Manage contracts, invoices, budgets, and procurement costs.
  • Monitor facilities expenditure and value-for-money solutions.

Team Leadership

  • Develop and oversee Office Services and Reception teams, aligning with Arrivas’ customer service standards.
  • Partner with National UK Bus Facilities Manager for consistent operational improvements.

Requirements

Essential Experience

  • Proven work in Facilities Management, Workplace/Office Management, or related fields.
  • Experience managing contractors, maintenance programmes, and workplace services.
  • Expertise in scope development, tender processes, supplier negotiations.
  • Strong grasp of health/safety regulations, contractor compliance, and office compliance.
  • Project experience in refurbishment, relocations, workspace planning.
  • Proficiency in Microsoft Office (Excel/Word) plus data/performance reporting tools.
  • IOSH certification.
