Role Overview and Responsibilities
Reporting to the General Manager at our Bedlington manufacturing facility, the Office Manager is the first point of contact for visitors, customers and suppliers when visiting site.
Role Summary:
As the Office Manager you're responsible for ensuring that the Bedlington reception runs efficiently and smoothly. You'll coordinate administrative activities including maintenance and replenishment of stationery, catering and workwear stock. You'll also coordinate customer, and internal TT colleague, visits, including preparation of meeting rooms and provision of lunches and refreshments. As the Office Manager you'll also provide administrative support to the site based Senior Leadership Team as well as support to the Human Resources team, when required.
Key Responsibilities Include:
Reception & Front Office Management
- Serving as the first point of contact for visitors, customers, suppliers, and contractors
- Managing incoming calls, emails, and general enquiries professionally and efficiently
- Welcoming and coordinating visitors, including arranging meeting rooms and visitor access in accordance with site security and ITAR requirements
- Maintaining a professional and organised reception area
- Handling incoming and outgoing mail, courier deliveries, and shipments

Office Administration
- Ordering and maintaining office supplies, stationery, company workwear and general workplace requirements
- Maintaining accurate records, filing systems, and company documentation where required
- Assisting with preparing reports, documents, spreadsheets, and presentations
- Supporting onboarding activities for new employees, including workstation and access arrangements
Manufacturing & Business Support
- Providing administrative support to the site based Senior Leadership team
- Assisting with coordinating supplier and customer visits
- Assisting with employee and visitor travel requirements
- Assisting with organising meetings, training sessions, and company events
- Supporting documentation control and internal processes in line with company procedures
- Maintaining confidentiality of company, employee, and customer information
HR & Employee Support
- Supporting basic HR administration
- Assisting with employee communications and workplace initiatives
Qualifications, Skills and Attributes
What We Look For:
- Previous experience in a receptionist, office administrator, office manager, or similar role
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Strong organisational and time-management skills
- Excellent written and verbal communication skills
- A professional telephone and customer service manner
- The ability to always maintain confidentiality and professionalism
- The ability to multitask and prioritise workload effectively
- Strong attention to detail and accuracy
- The ability to work independently and as part of a team
- Adaptable and flexible
- The ability to problem solve, identify and delivery process improvements
The following would enhance your application but is not essential to apply:
- Purchasing experience and knowledge of SAP purchasing processes
