Office Manager
Job Title: Site Administrator / Document Controller (Construction)
Location: Swindon (Site: Based / Office: Based)
Duration: 12:18 Months

About The Role
We are seeking a highly organized and proactive Site Administrator / Document Controller to support a major construction project in Swindon for over a year long. This role is perfect for a sharp, detail-oriented administrator who thrives in a fast-paced environment and enjoys being the heartbeat of a busy site office. You will manage day-to-day site office operations, oversee crucial health and safety compliance paperwork, and maintain our digital document management systems.
Key Responsibilities
- Register and process Material GRNs (Goods Received Notes) and delivery tickets onto Microsoft Business Central, ensuring all documentation is accurately scanned into the relevant Procore folders.
- Work closely with Site Managers to track health and safety accreditations and plant/equipment certifications internal software, raising proactive alerts before any certifications expire.
- Manage and interface with Construction management Software to process digital induction paperwork for site staff and subcontractors.
- Maintain the general housekeeping and tidiness of the site office and desks.
- Partner with the cleaning staff to ensure welfare facilities are pristine, client meeting spaces are prepared, and kitchen/office supplies never run out.
- Health and Safety Support: Manage the inventory of the storeroom (Stationery, PPE, etc.) and assist the Fire Coordinator with roll-calling during emergency drills.
- Serve as the welcoming face of the site office, greeting visitors and managing incoming queries.

What We Are Looking For
- Prior experience working as a Site Administrator, Document Controller, or Site Secretary within the Construction, Engineering, or Built Environment sectors is highly preferred.
- Ideally, familiarity with Procore or similar construction management software.
- Exceptional attention to detail with the ability to confidently nudge site staff to keep workspaces orderly and ensure compliance.
- No specific certifications or degrees are required; we value practical, hands-on administrative experience and a reliable work ethic.
