Company Description: HutanBio is a climate tech company developing the world's first sustainable fuel for aviation, shipping, and heavy transport that can compete on cost, at scale, without compromising on sustainability. These markets underpin over $40 trillion in global trade and are among the fastest-growing sources of emissions - yet no existing low carbon fuel solution has managed to be cheap, scalable, and genuinely sustainable at the same time. Until now.

Our breakthrough HBx bioenergy technology is built on Sphaerica, a new-to-science genus of marine microalgae with unprecedented biological performance: 3× higher oil productivity than previously known algal strains in enclosed photobioreactor systems, exceptional CO₂ capture, and resilience to high salinity and solar intensity - eliminating the need for arable land or freshwater.

HutanBio is headquartered in Cambridge, UK, with R&D facilities in Malaysia and an operational footprint in Oman.

Role Description

The Executive Office Manager is a full-time, on-site role based at our office in Cambridge, responsible for supporting senior leadership and ensuring efficient office operations. Day-to-day tasks include managing calendars, scheduling meetings, organizing travel, preparing documents and presentations, and handling correspondence. The role also oversees office administration, including supplies, office equipment, vendor relationships, and basic facilities coordination.

The Executive Office Manager will act as a key point of contact for visitors and internal team members, providing professional customer service and maintaining a well-organized office environment. This position requires proactive coordination, attention to detail, and the ability to prioritize tasks in a fast-moving, mission-driven setting.

Responsibilities

Executive Support to the CEO

  • Manage the CEO's calendar, scheduling and shifting priorities as needed.
  • Arrange travel, accommodation and itineraries for the CEO.
  • Handle correspondence and act as a point of contact on the CEO's behalf where appropriate.
  • Prepare materials and logistics for board meetings, investor meetings and key external visits.
  • Exercise discretion and judgement when managing confidential or time-sensitive matters.
  • Provide ad hoc support to the wider leadership team as needed.

Office Management and Team Operations

  • Support the general day-to-day running of the Cambridge office.
  • Keep shared office areas, meeting rooms and supplies organised.
  • Coordinate deliveries, shipments, couriers and incoming/outgoing post.
  • Help manage supplier, service provider and website account administration.
  • Support booking of meetings, rooms, travel, accommodation and external visits for the wider team.
  • Help organise team meetings, company events, visitor schedules and travel.
  • Maintain simple administrative records, trackers and filing systems.
  • Support onboarding logistics for new starters, including equipment, access and basic setup.
  • Support HR and people administration using BambooHR.
  • Liaise with building management, suppliers and external contacts.
  • Support purchasing, ordering and invoice tracking where needed.
  • Keep key company accounts, subscriptions and services organised.
  • Help ensure the office is a welcoming, tidy and professional working environment.
  • Identify practical issues and take ownership of resolving them.

Essential requirements

  • Previous experience in an office management, executive assistant, or similar administrative role.
  • Excellent written and verbal communication skills.
  • Highly organised, with strong attention to detail.
  • Comfortable working independently in a small, fast-paced team environment.
  • Discretion, reliability and professionalism when handling sensitive or confidential information.
  • Confident using standard office and HR software (e.g. Microsoft Office, BambooHR, or similar).

Desirable

  • Experience supporting a leadership team or senior executives directly.
  • Interest in climate technology, sustainability, or the biotech sector.
  • Experience working in a start-up or scale-up environment.
