Office Manager
Office Manager – A66 Site Compound, Penrith, Cumbria
About the Role
Our work impacts millions. If you join our Highways team as an Office Manager at our A66 Site Compound in Penrith, you’ll contribute to meaningful and dynamic projects that matter.
You’ll provide administration support to the project team and oversee the efficient management of office facilities and administrative resources.
Responsibilities
Office Operations
- Develop, implement, and administer office management processes and systems to ensure smooth day-to-day operations.
- Manage desk allocation to optimise space usage and align with team requirements.
- Oversee bookings for meeting rooms and EV chargers.
- Coordinate the office cleaning team to maintain a safe, clean, and professional environment.
Reception & Visitor Management
- Be the first point of contact for visitors, offering a warm and professional front-of-house service.
- Manage reception duties, including issuing passes and enforcing site security procedures.
- Handle incoming communications (calls, emails, enquiries) with efficiency and proper routing.
Travel & Logistics
- Arrange ad hoc hotel accommodation and travel bookings as required.
- Organise and coordinate on-site events and activities.
Security & Compliance
- Ensure full compliance with all security protocols and Health & Safety requirements.
- Maintain up-to-date statutory notices, safety information, and communication displays.

Procurement & Maintenance
- Procure office supplies and maintain adequate stock levels, arranging timely replenishment.
- Monitor office equipment for functionality, resolving faults with internal/external providers.
Additional Support
- Undertake ad hoc tasks to support the wider team and operational needs.
- Promote Balfour Beatty Values in daily activities.
- Support Zero Harm principles and sustainability initiatives.
Requirements
Must-Have Skills & Experience
- Proven office management experience, especially in a busy, project-based environment.
- Exceptional organisation skills with the ability to work independently and initiatively.
- Strong communicator, able to interact effectively with all levels of colleagues.
- Excellent team leader with the ability to build strong working relationships.
- Capacity to work under pressure and meet tight deadlines.
- High customer focus, ensuring a positive experience for all visitors and colleagues.
- Strong IT proficiency, including Microsoft Office (Excel, Word, PowerPoint).
