Job Overview
This dual-function role provides critical operational, administrative, and commercial support within a fast-paced construction contracting business. You will manage the daily operations of the office while directly supporting our Project Management, Furniture Procurement, and Quantity Surveying (QS) teams. The ideal candidate is a process-driven coordinator who excels at creating efficient systems, maintaining strict compliance standards, and multitasking across commercial fit-out, refurbishment, and furniture installation projects.

Office Management, Compliance & ISO 9001 Support
- Maintain accurate office maintenance records and health and safety documentation
- Manage asset registers and office inventories
- Oversee utilities, and office supplier contracts
- Support the implementation, maintenance, and auditing of ISO 9001 Quality Management System requirements
- Ensure company documents, templates, and archives comply with ISO quality standards
Systems Processes & Reporting
- Develop, implement, and optimize internal administrative systems and processes
- Track project data to produce accurate management reports and KPIs
- Standardize digital filing systems across all active projects to meet audit readiness
General Office Administration
- Provide administrative support to Project Managers, Furniture, and QS teams
- Support with Purchase Orders (POs) for subcontractors and suppliers
- Assist the QS team with variations, valuations, and cost-control data entry
- Support the onboarding, vetting, and compliance checks of new subcontractors
- Maintain the approved supplier database, ensuring insurances and certifications are current
- Update digital marketing collateral, case studies, and capability statements
- Format, polish, and assemble tender interview and client presentation packs
- Ensure all external documents strictly adhere to company branding guidelines

Key Skills & Experience
- Strong organizational and time management skills
- High level of attention to detail and accuracy
- Good working knowledge of Microsoft Office (Word, Excel, Outlook)
- Excellent communication skills, both written and verbal
- Ability to work independently as well as part of a team
