Office Manager & Executive Assistant (HR, Recruitment & Operations)
📍 Hemel Hempstead, Hertfordshire
💰 £28,000 – £32,000 per annum (DOE)
🕒 Full-Time | Permanent
Bluegrid Utilities is looking for an organised, proactive, and highly motivated Office Manager & Executive Assistant to become the operational backbone of our growing business.
This is a diverse role that combines office management, executive support, recruitment coordination, HR administration, and compliance. You’ll work closely with the Director and senior management team to ensure our business operates efficiently while supporting the growth of our workforce.
Key Responsibilities
Executive & Office Support
- Provide day-to-day executive support to the Director.
- Manage calendars, meetings, travel, and appointments.
- Coordinate company events, inductions, and internal meetings.
- Ensure the smooth day-to-day running of the office.
- Maintain company records, documentation, and filing systems.
- Manage office suppliers and administrative requirements.
Recruitment & Talent Acquisition
- Be the primary point of contact for all recruitment activities.
- Create and manage job advertisements across LinkedIn, Indeed, and other recruitment platforms.
- Screen CVs and shortlist candidates.
- Coordinate interviews with hiring managers.
- Ensure candidates receive timely communication throughout the recruitment process.
- Prepare offer letters and onboarding documentation.
- Maintain recruitment trackers and hiring reports.

HR Administration & Compliance
- Coordinate employee onboarding and offboarding.
- Maintain HR records and confidential personnel files.
- Conduct Right to Work checks in line with UK legislation.
- Ensure recruitment processes comply with UK employment legislation.
- Assist with employment contracts, probation reviews, and HR administration.
- Work closely with management to maintain HR policies and procedures.
- Ensure recruitment files remain fully compliant for audit purposes.
Operations & Finance Support
- Process invoices and purchase orders.
- Maintain timesheets and support payroll preparation.
- Coordinate operational schedules.
- Support project mobilisation and workforce planning.
- Liaise with clients, subcontractors, and suppliers.
- Assist management with operational reporting and administration.
We’re Looking For
Essential
- Previous experience as an Office Manager, Executive Assistant, HR Coordinator, or Recruitment Coordinator.
- Strong recruitment experience, including:
- Advertising vacancies
- Shortlisting
- Interview coordination
- Candidate management
- Onboarding
- Good knowledge of UK employment legislation.
- Experience carrying out:
- Right to Work checks
- Recruitment compliance
- Employee documentation
- Excellent organisational and communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong Microsoft Office skills (Excel, Outlook, Word, Teams).
- Professional, confident, and approachable.

Desirable
- Experience within utilities, construction, engineering, or telecoms.
- Knowledge of HR systems or Applicant Tracking Systems (ATS).
- Experience supporting directors or senior leadership.
- Payroll or finance administration experience.
- Full UK Driving Licence.
