Job Description: Office Manager / Executive Assistant

Due to continued growth, our long-term Manufacturing client is looking for a highly motivated Office Manager / Executive Assistant to join their team. The role is ideally 20 to 25 hours per week.

About the Role

The Office Manager / Executive Assistant is responsible for ensuring the smooth day-to-day running of the office whilst providing administrative support to the Directors and wider team.

This is a varied role combining office management, administration, travel coordination, finance support, and general business assistance. The successful candidate will often be the first point of contact for clients and suppliers and will help maintain the professional image of the client.

Key Responsibilities

Office Management

  • Ensure the office operates efficiently on a daily basis.
  • Answer and screen incoming telephone calls.
  • Welcome visitors and clients.
  • Manage incoming and outgoing post.
  • Maintain office supplies and stationery.
  • Order refreshments and consumables.
  • Keep meeting rooms presentable.
  • Coordinate office maintenance and repairs.
  • Liaise with landlords and service providers where required.

Administrative Support

  • Provide general administrative support to the Directors and wider business including:
    • Preparing documents.
    • Formatting reports.
    • Filing and document management.
    • Creating meeting agendas.
    • Taking meeting notes where required.
    • Managing shared inboxes.
    • Updating company databases.
    • Maintaining project folders.
    • Preparing presentation packs.
    • Arranging deliveries from the office.
