Now, we’re scaling the team to push boundaries further.
About the Role
As Office Manager, you’ll operate as the driving force behind our London headquarters, leading the daily running and continuous improvement of the space. You’ll be the face of Humanoid London—ensuring everything runs smoothly: from office supplies to cleaning, event coordination, and brand consistency.
You’ll report directly to our Head of Global Workplace and Facilities, collaborating with teams in Boston and Vancouver to establish best practices across operations, vendor standards, and workplace culture. This is a high-trust, high-ownership role for someone who thrives on detail-oriented excellence, takes pride in seamless execution, and brings tangible warmth to our workplace.
Responsibilities
Day-to-Day Office Leadership
- Oversee opening/closing routines, cleaning schedules, and presentation of shared spaces
- Ensure offices, meeting rooms, and reception are stocked, clean, and brand-aligned
- Coordinate visitor check-in, onboarding packages, and orientation for new team members
- Host internal events, team lunches, and workshops with hospitality standards

Operations & Asset Management
- Manage office supplies, kitchen inventory, equipment, and furnishing—proactively tracking stock and resolutions
- Liaise with buildings management, cleaners, contractors, and trades for maintenance and repairs
- Oversee deliveries, front-of-house logistics, and post (including assignments for tracking and security)
- Act as the main point of contact for all office-related requests, questions, and issues
Facilities & Cross-Site Standards
- Partner with Head of Global Workplace & Facilities to develop consistent policies for London/Boston/Vancouver
- Contribute to expanding supplier standards, employee experience initiatives, and facility-wide upgrades
- Maintain operational documentation and procedures for legal, security, and local-compliance adherence
Financial & Administrative Oversight
- Process internally invoiced purchases, track local office budgets, and support expense reporting
- Lead supplier negotiation and onboarding (consumables, catering, utilities—national and local)
Requirements
Essential
✓ Proven track record in office management, facilities coordination, or high-trust team ops (fast-growth, admin-heavy, or technical environments preferred) ✓ Impeccable organisational skills—you anticipate needs, notice inconsistencies, and act before they escalate ✓ Agile communicator with fluency across stakeholder levels (entry-level collaborators, senior leaders, external performers) ✓ Highly proactive—you identify gaps and resolve them without prompting; a self-starter who gets things done ✓ Alignment with our values: precision, hospitality, and proactive responsiveness

Nice-to-Haves
- Experience in health & safety or environmental workplace compliance
- Hands-on in office tech (Google Workspace, Soontrack, Slast, SOPs, facilities tools)
- Practice in configuring new offices, lease expansions, or high-spec facility revisions
- Domain insight into AI/robotics workplaces or technical environments
