Office Manager (maternity cover)

The Office Manager is a vital part of the team that can perform a variety of tasks. Duties will mainly include supporting the day-to-day running of the business, ensuring company administration is maintained efficiently and management systems are adhered to. Attention to detail, strong organisational skills and the ability to communicate effectively are essential.

The role will require a proactive and self-sufficient individual who can manage a varied workload, work collaboratively with internal teams and ensure key business processes are completed accurately and on time.

Key responsibilities:

  • Processing supplier invoices.
  • Reconciling and processing company credit card statements.
  • Managing company training records and maintaining the training matrix.
  • Processing and managing CITB grant applications.
  • Performing general administrative duties to support the business.
  • Supporting compliance with company management systems and procedures.
  • Purchasing office stationery and supplies.
  • Managing business insurance policies and renewals.
  • Taking minutes during company meetings and distributing actions.
  • Answering the office telephone and dealing with enquiries.
  • Maintaining company records and documentation.
  • Assisting with review and creation of office-based risk assessments.
  • Fleet management.
  • Working with other internal departments as and when required

Experience, attributes, and skills sought:

  • Previous administrative or office management experience.
  • Excellent organisational and customer service skills.
  • Strong organisational and problem-solving skills with the ability to identify and resolve issues independently.
  • Strong attention to detail and accuracy.
  • Ability to prioritise and manage multiple tasks.
  • Positive, proactive and able to work effectively as part of a team
  • Good telephone manner.
  • Proficient in Microsoft Office applications.
  • Ability to work independently and use initiative.
