Operations & Executive Support Coordinator (Graduate Opportunity)
London | Full-Time | Office-Based
We are seeking an ambitious graduate-calibre Operations & Executive Support Coordinator with at least one year's professional experience, or a recognised PA/Executive Assistant qualification, to join a fast-growing AI business. This is an excellent opportunity for someone looking to develop a career in business support, operations, office management, or executive assistance within a dynamic and innovative technology company.
Our client an innovative AI business transforming how organisations work with information and make decisions. As they continue to grow, we are looking for an Operations & Executive Support Coordinator to become a key part of our London team.
The Role
This is a varied and fast-paced position that combines office coordination, business support, event planning, and executive assistance. You will play a central role in keeping the office running efficiently while providing day-to-day support to senior members of the leadership team.
The role offers significant learning opportunities and exposure to all areas of a growing technology business.
Key Responsibilities
Office & Operations Support
- Support the day-to-day running of the London office.
- Coordinate office suppliers, deliveries, and service providers.
- Liaise with building management regarding facilities and office requirements.
- Organise meeting rooms and support visitor hospitality arrangements.
- Help maintain a professional, welcoming, and well-organised office environment.
- Assist with planning office events, team socials, and company gatherings.
- Support the coordination of team offsites, travel logistics, and internal events.
- Assist with administrative projects and operational initiatives as the business grows.

Executive & Team Support
- Provide administrative support to senior leadership team members.
- Manage calendars, schedule meetings, and coordinate appointments.
- Arrange travel, accommodation, and meeting logistics where required.
- Monitor and organise inboxes, ensuring timely responses and follow-up actions.
- Prepare meeting agendas, presentations, and supporting materials.
- Take notes and track actions from leadership and team meetings.
- Coordinate meetings with internal and external stakeholders.
- Act as a point of contact between teams across our UK and international offices.
Projects & Business Coordination
- Support company-wide initiatives and special projects.
- Assist with onboarding new employees and coordinating office set-up.
- Help improve internal processes and ways of working.
- Contribute ideas that enhance employee experience and office culture.
- Develop an understanding of the company's AI products and wider business strategy.

About You
- Educated to degree level or equivalent, with a strong academic background.
- A minimum of 2 year's experience in an administrative, team support, office coordination, PA, customer service, or business support role; alternatively, a PA/Executive Assistant qualification or diploma.
- A genuine interest in technology, AI, and innovative businesses.
- Strong organisational skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Confident interacting with colleagues and stakeholders at all levels.
- Proactive, resourceful, and eager to learn.
- Able to manage multiple priorities in a fast-paced environment.
- Strong Microsoft Office and/or Google Workspace skills.
