Office Manager / Receptionist

Office Manager / Receptionist – Construction Site (Saunderton, UK)

Equans Data Centres are seeking a dynamic Office Manager / Receptionist to support our expanding Data Centre construction project in Saunderton, High Wycombe. This site-based role ensures smooth operations in live project office environments, assisting the Project Director and wider team.

The ideal candidate will be responsible for organising and managing construction site offices/cabins, ensuring a professional, efficient, and well-organised working environment while maintaining a first point of contact for all visitors.


Key Accountsabilities

The successful applicant will oversee:

  • Daily operations of site offices/cabins to maintain a seamless working environment
  • Office supply inventory, ensuring stock levels are sufficient and conferring professional, well-maintained facilities at all times
  • Logistical coordination of site office setup, including furniture, equipment, and necessary supplies
  • Maintenance and management of office infrastructure, including repairs, replacements, and upgrades as needed
  • Acting as the primary liaison for suppliers, contractors, and service providers
  • Front-of-house coordination, including welcoming visitors and managing access control
  • Administrative support in generating, maintaining, and monitoring project-related documentation
  • Meeting coordination and scheduling to align with project timelines and deliverables
  • Management of documentation, reports, and schedules to ensure everything remains current and accurate
  • Preparation of meeting agendas, minute-taking, and managing action follow-ups
  • Supporting procurement processes and logistics while tracking site-related costs and office expenses
  • Ensuring robust communication between team members and administrative assistance where necessary
  • Compliance with health and safety (H&S) regulations, working closely with the relevant H&S manager
  • Emergency protocol support and ensuring staff and visitors’ awareness of site safety procedures

Requirements

Applicants should have:

  • Proven experience in office operations management
  • Experience in project administration or coordination
  • Strong organizational skills with exacting attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to prioritize tasks, deliver under deadlines, and thrive in fast-paced environments
  • Strong independent initiative while collaborating effectively in a team
  • A customer-focused approach when engaging with clients, visitors, and colleagues
  • High discretion and confidence in handling sensitive/confidential information
  • Proactive, team-oriented mindset
  • Familiarity with health and safety compliance in office/project settings
