Our client, a major German bank, are looking for a highly organised and proactive Office Manager who is required to support the smooth daily operation of a London office of approximately 22 staff. This role is central to maintaining an efficient, welcoming and well-run workplace, while providing administrative, facilities, and coordination support across multiple business functions.
Key Responsibilities
- Ensure the smooth day-to-day running of the office, including facilities management, maintenance coordination, supplier relationships, contract management, and oversight of security systems and access passes.
- Maintain office stock levels across stationery, pantry and kitchen supplies, including inventory management and organisation of storage areas.
- Create an organised, efficient and welcoming environment for employees and visitors. Coordinate meeting room bookings, office events, conferences, visitor management and general workspace organisation.
- Coordinate Health and Safety activities such as office checks, risk assessments and DSE processes. Act as First Aider and Fire Marshal.
- Arrange travel including flights and accommodation for senior leadership and the wider team.
- Provide administrative support to senior leadership and assist the wider team when required.
- Support finance processes including invoices, expense claims and banking. Assist with HR administration such as onboarding and offboarding. Provide basic IT support and liaise with HQ IT and external contractors when needed.
- Manage incoming and outgoing post and courier bookings.
- Build and maintain strong working relationships with colleagues in the London office and international headquarters.
- Provide English and German translation support when required.
