Office Manager (Part-Time, 4 Days per Week)

Salary: £40,000 (total, not pro-rated)

Location: Central London (site-based)

Working Pattern: Four days per week in the office (Green Park nearest tube)

About the Role

This is an excellent opportunity for an experienced Office Manager to take ownership of a unique and varied operational remit. You will oversee the smooth running of a busy office environment, manage a historic central London building, and support high-quality service delivery to internal teams, tenants, and visitors. The role blends day-to-day operational management with facilities oversight, stakeholder engagement, and contribution to event delivery. It would suit someone who thrives in a hands-on, multi-faceted position and enjoys working within a small, professional organisation.

Key Responsibilities

Office & Facilities Management

  • Lead the day-to-day running of the office, ensuring a professional, efficient, and supportive working environment.
  • Act as the main point of contact for contractors, suppliers, and service providers.
  • Oversee maintenance, repairs, compliance checks, and building safety requirements.
  • Manage office supplies, equipment, refreshments, and postal/courier processes.
  • Maintain high standards of cleanliness, presentation, and confidentiality across all office areas.
  • Provide flexible cover for front-of-house duties when required.

Building Management

  • Manage a Grade II* listed central London property, ensuring it is well-maintained, compliant, and welcoming for tenants and visitors.
  • Liaise with tenants, contractors, and neighbouring property teams to ensure smooth operations and minimise disruption.
  • Support the marketing and letting of office and event space, working closely with internal colleagues and external agents.
  • Plan and oversee maintenance programmes, improvements, and long-term building projects.
  • Report progress, risks, and recommendations to senior leadership.

Health, Safety & Wellbeing

  • Serve as the named health and safety officer, fire warden, and first aider.
  • Ensure all staff receive appropriate H&S training and maintain accurate records.
  • Conduct risk assessments and follow up on recommendations.
  • Keep policies and compliance documentation up to date.

People Management

  • Line manage two house managers, providing clear direction, support, and development.
  • Foster a positive, proactive, and service-focused team culture.

Events Support

  • Work closely with colleagues to ensure seamless delivery of meetings and events held within the building.
  • Support venue bookings and contribute to an excellent guest experience.

You Will Bring:

  • At least five years’ experience as an Office Manager within a small professional environment.
  • Strong people-management skills and confidence leading operational staff.
  • Excellent organisational, planning, and problem-solving abilities.
  • A calm, professional communication style and strong stakeholder management skills.
  • Strong IT skills (Microsoft Word, Excel, PowerPoint).
  • Experience with basic finance processes (purchase orders, invoices, small budgets).
  • Experience supporting event delivery and guest experience.
  • Determination, resilience, and the ability to see projects through to completion.
