About the job
As an Office Operations Administrator in our operations team, you’ll be based full time in our London office (standard hours 9am to 5pm UK time). This role will be responsible for supporting the efficient running of the office operations while providing essential administrative support across our wider operations teams, and in particular managing our UK product wrapper transfers and day to day operational activities to provide a seamless and efficient customer experience for our clients.
You will be in close contact with all areas of the operations team and the wider Alpaca UK teams and this role requires someone who is highly organised, able to manage multiple tasks at once whilst working under pressure.
On a typical day you will be…
- Coordinate administrative functions to ensure smooth office operations and compliance with company policies.
- Manage visitors to the office, greeting, handling incoming calls, and managing correspondence.
- Act as the main point of contact for office administration related queries.
- Manage incoming and outgoing post.
- Serve as the primary contact for office maintenance, service requests, and IT-related issues, ensuring timely resolution.
- Processing operational tasks such as transfers and cash payments across ISAs, JISAs, GIAs and Pension wrappers.
- Working as part of a small team, using effective communication to ensure daily tasks are completed with a high degree of accuracy.
- Operational activities change from time to time as the business grows to meet the changing demands of a rapidly scaling Operations function.
- Developing your UK Finance Operational knowledge and learning more about the functions at Alpaca.

Requirements
You’ll be successful if you …
- Are experienced with a similar office administrator role coordinating office activities or if you have general administrative experience and are happy to be office based and willing to learn.
- Have great attention to detail.
- Have experience with established platforms and fast-paced environments.
- You have a willingness to learn more about and take ownership of processes and customer outcomes, delivering the best outcomes for our clients.
- Are organised and comfortable communicating across teams.
- Have technical build interest and keen to operate in a tech-focused environment.
- Ideally have worked in the UK Financial Services previously or have a strong passion to learn about and develop within that industry.
