Role Overview

The Office & Purchasing Assistant will provide comprehensive administrative and operational support, working closely with internal teams and external suppliers.

Key Responsibilities

  • Purchasing Support: Raise purchase orders, obtain quotations, liaise with suppliers, and maintain accurate procurement records.
  • Travel & Accommodation Booking: Arrange travel, hotel bookings, and itineraries for staff in line with company policies.
  • Supplier Delivery Chasing: Monitor outstanding orders, follow up with suppliers, and resolve delivery delays or discrepancies.
  • Goods Receiving: Accurately receive and record deliveries within Autotask, ensuring all items are logged and matched to purchase orders.
  • Stock Control: Manage stock levels within the Manchester Office, conduct regular audits, and ensure timely replenishment.
  • General Office Duties: Support daily office operations including document handling, maintaining supplies, and assisting colleagues as required.

Experience, Qualifications, Personal Attributes

  • Previous administrative experience in an office or operational environment.
  • Strong organisational skills with the ability to prioritise multiple tasks.
  • Excellent communication skills when dealing with suppliers, colleagues, and external partners.
  • High level of attention to detail in data entry, stock management, and travel arrangements.
  • Confident IT user with experience in business systems; familiarity with Autotask is advantageous but not necessary as training will be given.
  • Effective problem-solving ability to address delivery issues, stock discrepancies, and scheduling challenges.
  • Professional, reliable, and committed to high standards.
  • Proactive and able to work independently.
  • Strong team player with a positive attitude.
  • Adaptable and comfortable in a fast-paced environment.
