TRI Office Receptionist and Administrator
Basic salary is £27,000 per annum
Responsibilities
Reception:
- To staff the reception desk in the TRI office 8.30am – 5.30pm Monday to Friday.
- First point of contact ensuring all enquiries are dealt with in a timely and appropriate fashion.
- Meet and greet external visitors.
- Provide access for deliveries.
- Collect and distribute post.
- Manage key/fob access system for TRI staff and software associated with it.
Administrative Support and Meeting Coordination:
- Assist the Institute Secretary with Human Resources administration.
- Assist the Institute Secretary with Health and Safety administration.
- Provide general administrative support, including answering phone calls, responding to emails and managing office correspondence; assist in the preparation and distribution of internal and external communications.
- Assist in organising and coordinating meetings and conference calls and manage logistics for in-house meetings and other special events – meeting room set up before and clearance after meetings.
- Prepare minutes of meetings as required.
- Responsible for shredding of confidential documentation and shredding facility.
- Order catering and other consumables to support meetings (water, tea, milk etc).
- Coordinate the servicing of all office equipment as required.
- Manage mobile phone contract with network supplier as appropriate and manage mobile phone users within TRI.
- Support in maintaining up-to-date records, files and documentation. Assist in data entry, filing and record-keeping tasks to ensure accurate and accessible information.
- Attend to other ad hoc administrative duties.
- Liaison with Landlord’s managing agent.
- Manage and order stationary and other office equipment supplies.
- Liaison with office suppliers.
- Arrange PAT testing of office equipment.

Requirements
- Proficient in MS Office (Word, Excel, PowerPoint and Outlook) and Teams
- Excellent interpersonal skills
- Self-motivated and enthusiastic
- Organised with an eye for detail and accuracy
- Strong written and verbal communication skills
Hours:
Full-time 8.30am – 5.30pm Monday to Friday – 1 hour for lunch
Location:
The role is based in St James’s Street, London SW1A 1NE. Full-time on-site presence is required.
