About the Role
My client, a leading law firm based in the City (Holborn), are seeking an Office Services Assistant to join their team on a permanent part-time basis, working Tuesday, Wednesday and Thursday.
You will be joining the existing Office Services team of 3, responsible for:
- Reception
- Hospitality
- Overseeing events, facilities
- Mailroom operations
- Reporting directly to the Facilities Manager (FM)
Key Responsibilities
The Office Services Assistant will deliver an exceptional customer service experience to all colleagues and guests, including:

Daily postal duties
- Accurately monitoring different types of documents
- Managing effective mailroom and courier processes

Post Room & Print Hub Care
- Ordering couriers, taxis, and flowers
- Archiving tasks

Event & Meeting Preparation
- Daily preparations for in-office meetings and events
- Managing visitor and meeting room bookings

Facilities Management
- Checking office floor space daily to ensure facilities are in order
- Overseeing event and hospitality management

Reception & Hospitality
- Ability to deputise or cover reception, hospitality, post room duty, and administrative tasks

Health & Safety & Site Administration
- Work with the Facilities Manager to maintain site procedures
- Conduct basic Health & Safety tasks, including fire risk inductions and power failure procedures

Facilities Helpdesk
- Managing inbound calls related to office fixtures, fixtures, or equipment issues
- Coordination of monthly planned maintenance bookings with contractors

- Assisting with maintenance and repairs
Required Skills & Experience
- Previous experience in customer services, office services, or a similar role
- Strong team player mentality
- Attention to detail for accuracy in all tasks
- Excellent verbal and written communication skills
- High-level interpersonal skills with a positive can-do attitude
- Proven track record in customer service
- Strong organisational abilities
- Experience in front-of-house, hospitality, and call handling
- Knowledge of office services and basic facilities management
- Familiarity with mailroom and courier processes
- Experience using room booking systems
