Description
We're looking for a highly organised and customer-focused Onboarding Coordinator to deliver a seamless experience for new hires from offer acceptance through to successful integration into the business. You’ll manage everything from drafting offers and coordinating pre-boarding, to overseeing background checks and IT setup, ensuring every new joiner feels supported from day one.
Acting as the bridge between Recruitment and HR Operations, you’ll gain valuable exposure to both teams and play a central role in bringing the hiring journey to life. Alongside your day-to-day responsibilities, you’ll also get involved in project work focused on improving processes – including creating efficiencies and supporting automation initiatives.
Success in this role comes from strong communication, attention to detail, and a proactive, organised approach, helping to ensure a smooth, positive start for every new employee.
About the role
- Draft and issue employment offers, ensuring accuracy and a smooth transition from candidate to new joiner, while working closely with HR and Talent & Development to support pre-boarding and induction activities.
- Take ownership of the end-to-end onboarding process for all new starters, acting as a key point of coordination between HR, IT and hiring managers to ensure a seamless experience.
- Manage and monitor pre-employment checks across all regions, ensuring background screening is completed accurately and on time in line with compliance requirements.
- Conduct right to work checks in line with UK and international regulations.
- Identify opportunities to enhance the new joiner experience, using feedback and data to inform changes.
- Maintain onboarding trackers and systems, ensuring all new starter data is accurate, up to date and audit-ready.
- Capture and validate all remuneration details for new hires, including bonuses, sign-on payments and long-term incentive arrangements.
- Deliver a high-quality onboarding experience by coordinating all aspects of the joiner journey, including issuing onboarding documentation, acting as point of contact, organising welcome packs and supporting new joiner integration through their first weeks.
- Build strong relationships with stakeholders across Recruitment and HR Operations, acting as a central bridge between the two teams to ensure a joined-up hiring and onboarding experience.
- Continuously review and improve onboarding processes, maintaining clear documentation, process maps and guidance materials.
- Support and contribute to project work focused on driving efficiencies and improving processes, including system enhancements, automation initiatives and optimisation of onboarding workflows.
- Provide onboarding insights and reporting (e.g. timelines, delays, or trends) to help inform improvements to the hiring and onboarding journey.
- Support ad-hoc HR administration and wider team initiatives as required.

About you
We are looking for someone who is passionate about creating an outstanding employee experience. You will have proven experience coordinating end-to-end new hire onboarding within a fast-paced corporate environment, and be able to demonstrate a strong understanding of onboarding best practices, including pre-employment checks, compliance requirements and first-day readiness.
- Excellent organisational skills with the ability to manage multiple onboarding activities simultaneously while maintaining accuracy and attention to detail.
- Experience working with HR systems, applicant tracking systems (ATS) and onboarding platforms.
- Strong stakeholder management skills, with the ability to build effective relationships across HR, Talent Acquisition, IT, Facilities and hiring teams.
- Exceptional written and verbal communication skills, with a professional and engaging approach.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Proactive problem-solving mindset with the ability to anticipate issues and deliver solutions quickly.
