Onboarding Specialist (Contractor) – London, UK

Position: Onboarding Specialist (Contractor)

Role Overview This is a contract-based role at Palo Alto Networks, administered through trusted external staffing partners. Contractors will not be employed directly by the company.

  • Location: London, UK (3 days in the office per week)
  • Duration: 9 months

Role Description

As an Onboarding Specialist, you will drive Palo Alto Networks’ company culture and deliver an exceptional first impression. Ideal for a self-driven professional eager to shape a seamless new hire experience—from the offer stage through to their first week.


Key Responsibilities

Core Onboarding & Process Management

  • Outdoor an outstanding onboarding experience across all touchpoints, ensuring compliance, accuracy, and timeliness
  • Manage key onboarding milestones including:
    • Coordination of offer generation
    • Facilitation of background checks via third-party vendors
    • Handling of identity verification through external providers
    • Error-free data input in Workday, Smart Recruiters, and supporting systems
  • Process management & adaptability:
    • Follow established adjudication guidelines while proactively resolving deviations and proposing recommendations before escalation
    • Act as a first line of support for escalated issues, driving resolutions and long-term solutions

Collaborative & Process Improvement

  • Actively contribute to the Staffing Operations team, participating in discussions to address:
    • Gaps in current workflows
    • Roadblocks impacting efficiency
    • Propose scalable solutions
  • Share best practices and areas for improvement to enhance overall team performance
  • Drive operational excellence through:
    • Administrative support rooted in organizational procedures and best practices
    • Full ownership of the new hire’s journey, managing their onboarding workflow via the Workday platform, correspondence, and Welcome Day scheduling

Required Experience & Skills

  • Proven experience in:
    • Offer generation and onboarding cycles
    • Maintaining high integrity, discretion and confidentiality
    • Thriving in a dynamic, global environment with shifting priorities and deadlines
  • Essential proficiencies:
    • Strong communication (written & verbal)
    • Mastery of MS Office Suite or G Suite
    • High-volume task execution with efficiency
    • Updated knowledge of the full candidate/employee lifecycle
    • Exceptional attention to detail with rigorous follow-through
  • Highly preferred:
    • Background check coordination experience
    • Workday, ServiceNow, Smart Recruiters, or DocuSign experience
