The Oncology team in Bangor is looking to recruit an enthusiastic, motivated individual to join our team of Medical Secretaries. The post holder will provide a comprehensive and efficient secretarial support service to the team based in Ysbyty Gwynedd.
By the nature of the duties, the post holder will be naturally empathic, required to maintain confidentiality, and will engage with staff, patients, carers, relatives, and other visitors to the Department through in-person interactions, email, and written communication. Courtesy and discretion are essential to promote a positive daily environment.
The ideal candidate will possess at least typing qualification or equivalent experience, as well as strong knowledge of IT packages (Western Integrated Care (WIC)/WPAS/iFit/WCP/EPRO, 있음), and meaningful medical terminology experience. Core responsibilities include supporting the team in typing clinical letters, distributing and sorting mail, and maintaining detailed patient files, including excellent written/verbal communication with GPs, Consultants, Nurses, and other hospital departments.
The successful candidate will also coordinate appointment scheduling, manage meetings, and provide training event bookings. During the absence of Senior Medical Secretaries, the post holder will cover their duties, including additional duties as needed or delegated by senior colleagues.
Main Duties
The post holder's core responsibilities will include:
- Collecting and collating information as directed by the Senior Medical Secretary or Administrator.
- Acting with initiation and self-inspection to prioritise workloads, meet contractual agreements, and reflect on personal performance, supporting improvements.
- Adhering to operational standards and advising colleagues while making informed decisions.
- Chasing outstanding patient information and forms, providing updates to staff, and assisting patients/relatives regarding admissions and appointments.
- Transmitting information securely via electronic communication, ensuring accuracy while working autonomously per each speciality.
- Maintaining all patient administration systems with Data Quality Assurance (DQA) compliance.
- Evidence of Welsh language skills is desirable; bilingual candidates (Welsh/English) are equally encouraged to apply.

Qualifications (Essential)
- NVQ Business Administration (Level 3) or equivalent experience
- RSA/OCR Complete Level 2 qualification (SelfCertification*
- IT proficiency index (CLAIT ECDL equivalent)
The Swiss Competition Commission’s multiyear traditional qualification can be assigned to Microsoft Word proficiency.
