Operations Coordinator – Phoenix Limited
Overview of the Role
Phoenix is a leading UK IT solutions and managed service provider, specialising in the public sector. We collaborate with organisations across government, healthcare, defence, public safety, education, housing, and charities—helping them modernise with confidence across cloud, data and AI, cyber security, and managed services.
Through strategic partnerships with global technology leaders and trusted frameworks in the public sector, our work directly impacts the services millions rely on daily. Due to continued growth, we are now hiring a new Operations Coordinator to support efficient day-to-day operations, ensuring orders, queries, and processes are handled accurately and promptly.
What Will You Be Doing?
The Operations Coordinator will act as a central point of contact, managing a wide range of operational activities:

Act as a central point of contact for operational queries from:
- Internal teams
- Customers
- Suppliers
- Vendors

Manage shared Operations inboxes, ensuring all queries are handled with accuracy and timeliness

Process customer orders, agreements, and licensing contracts with a high level of precision and attention to detail

Raise and manage purchase orders, ensuring timely processing and completion

Collaborate closely with sales teams to validate and process orders correctly

Liaise with suppliers, manufacturers, and strategic partners (e.g. Microsoft) to manage orders, queries, and updates

Maintain and update product pricing, ensuring pricing data remains accurate within internal systems

Develop and maintain operational reports, supporting sales activities and performance tracking

Manage renewals, reminders, and ongoing customer contract activity

Support after-sales processes, including:
- Handling returns
- Resolving delivery or order issues

Build and maintain strong relationships with:
- Suppliers
- Internal stakeholders

Assist with supplier engagements and pricing discussions as required

Maintain accurate records, documentation, and end-to-end contract tracking

Ensure all operational processes comply with company policies, including information security requirements

What Are We Looking For?
We’re seeking a highly organised, detail-oriented individual with strong administrative experience, ideally within fast-paced operations, sales support, or commercial environments. The successful candidate will thrive in a role requiring:
- Comfort working with systems, data, and multiple priorities
- Building effective relationships with internal & external stakeholders
Key Skills & Experience Required
- Previous experience in an administrative, operations, or order processing role
- Strong organisational abilities, with the capacity to:
- Prioritise workload
- Manage multiple tasks efficiently
- Exceptional attention to detail, particularly when handling:
- Orders
- Contracts
- Pricing data
- Proficiency in:
- Microsoft Office (especially Excel)
- Internal business systems
- Excellent communication skills, enabling effective liaison with:
- Internal teams
- Customers
- Suppliers
- Ability to build and sustain strong working relationships with key stakeholders
- Confidence managing queries, resolving issues in a timely and professional manner
- Proactive and reliable, with a strong sense of ownership and accountability
- Capability to work under pressure, meeting deadlines in a fast-paced environment
- Flexible, team-oriented mindset, with a willingness to support broader operational needs
- Initiative to identify process improvements and contribute to more efficient ways of working

Practical Information
Role Location
- Primary base: Phoenix HQ in Pocklington (YO42)
- On-site requirement: Minimum of 2 days per week
