About the Role
Provide comprehensive administrative support to the Operations function and the wider organisation. Ensure smooth delivery of operational activities while supporting cross-functional teams as required.
Key Responsibilities
- Maintain consignment stock levels by placing daily and weekly orders, replenishing stock locations, and ensuring inventory availability (some manual handling may be required).
- Manage the ordering, distribution, and stock control of Personal Protective Equipment (PPE) across the site.
- Review and process agency invoices, investigating discrepancies to ensure accurate and timely payments.
- Raise purchase orders, ensuring compliance with procurement procedures.
- Maintain and update employee training records, keeping personnel training information current and accurate.
- Coordinate business travel arrangements, including flights, accommodation, and transport following company policies.
- Attend meetings, ensuring minutes are taken accurately, actions tracked, and distribution is prompt.
- Provide general administrative support to the Operations team.
- Monitor and replenish stationery, placing orders as required.
- Serve as basic holiday and absence cover for the Operations and Admin Support Manager.
- Assist with cross-functional administration tasks, including reception cover, as needed for holidays and absences within the administration team.
- Undertake any additional training considered essential by the company for personal or business objectives.
- Respond to direction from management, accepting changes in responsibilities or duties within, or outside, the department as necessary.

Person Specification
- Administration and reception experience
- Excellent communication skills and telephone manner
- Strong organisation skills
- Ability to liaise effectively with diverse stakeholders
- Self-motivated, capable of working unsupervised
- Proficient in Microsoft packages, including Word, Excel, and Outlook
