Operations and Maintenance Client Relationship Executive

About the job:
To provide structured administrative, data, and coordination support to the Client Relationship Management (CRM) function. The role ensures accurate reporting, smooth client processes, and effective communication across internal teams and external stakeholders. This is an excellent first role for a graduate looking to build experience in client management, operational delivery, and renewable energy sector processes.
About Ecovision:
Ecovision has extensive experience designing, installing and managing distributed rooftop solar PV asset portfolios across the UK. We have installed over 5,500 systems and currently manage over 19,000 installations across the mainland UK (63MWp capacity). Our clients are primarily Portfolio Investors, Councils, and Housing Associations. We have a strong track record of managing long-term solar performance and work with clients to minimise operational costs while maximising renewable energy generation.

What you’ll do:
Main Responsibilities
Client Administration & Support
- Maintain and update client trackers including 50/50, Invalid Contact Tracking, and non‑contractual work (Exceptions) during the transition from spreadsheet reporting to an interactive client portal.
- Support preparation and scheduling of client meetings, ensuring agendas, materials, and actions are organised and distributed.
- Manage the CRM inbox, triaging and responding to basic and reactive queries.
- Provide holiday cover for CRM, ensuring continuity of communication and client support.

Portal & Data Management
- Manage various client portals on an ongoing basis, ensuring data accuracy, updates, and issue resolution.
- Upload meter images for the Client and the FIT Licensee, ensuring correct formatting and compliance with submission requirements.
- Conduct data review and basic analysis for client datasets, escalating anomalies to senior CRM colleagues.
- Support FIT data processing, including:
- First‑round submissions
- Handling rejections and failures
- Clearing on‑hold blockers (issues preventing payment from the FIT Licensee to the Client) in conjunction with Customer Operations
- Supporting senior CRM colleagues with second‑round submissions and final validation checks
Reporting & Analysis
- Prepare and issue monthly KPI reports for client review meetings.
- Support compilation of board‑level reporting packs, including data extraction, validation, and coordination with CRM on narrative sections.
Operational Coordination
- Produce and maintain non‑contractual work (Exceptions) reports, ensuring updates from clients are accurately reflected in the CRM.
- Track progress of non‑contractual work through to completion, liaising closely with Customer Operations to escalate actions, maintain momentum, and ensure timely resolution.
- Coordinate with internal teams to ensure all client updates, work statuses, and escalations are captured and progressed effectively.
Other duties
- The post holder may be required to undertake other reasonable ad hoc duties as appropriate and requested by their Line Manager.

Skills and experience
Skills & Competencies
- Strong organisational skills with the ability to manage multiple tasks and deadlines.
- High attention to detail, particularly in data handling and reporting.
- Confident communicator, able to work with internal teams and external clients professionally.
- Proactive approach to problem solving and workflow tracking.
- Competent in Excel, CRM systems, and client portals (Salesforce experience advantageous).
- Ability to work independently while contributing effectively to team objectives.

Experience & Qualifications
- This is an entry-level role, suitable for candidates looking to develop their experience in operations, data, and sustainability.
- Experience in administration, operations support, or client-facing environments is beneficial but not essential.
- Comfortable working with structured data, trackers, and reporting templates.
- Relevant qualifications or equivalent work experience in business, data, sustainability, administration, or a related field would be beneficial but are not essential.
Location: Hybrid, Ecovision, Pure Offices, Quedgeley, Gloucester. Commutable to the Head Office in Quedgeley, Gloucestershire
Hours: 37.5 hours per week, Monday to Friday
