Operations Assistant - Join OQC and Build the Future

We’re looking for a proactive and people-focused Operations Assistant to help create a smooth, welcoming, and well-organised workplace experience for our teams and visitors.


About the Role

This is a hands-on, front-facing position supporting day-to-day office operations and facilities coordination. You’ll work closely with the Facilities Operations Manager to ensure our office environment is safe, organised, and fully operational, all while delivering an excellent experience for employees, visitors, and stakeholders.

  • Maintain the smooth day-to-day running of office environments
  • Ensure all facilities meet safety and operational requirements

Concierge & Visitor Services

  • Handle visitor queries, parking requests, security concerns, and concierge-style support
  • Respond professionally via phone, email, and in-person interactions

Administrative Coordination

  • Conduct stock checks and order office supplies, stationery, food, and beverages within budget
  • Arrange catering and logistics for meetings and visits
  • Support employee travel bookings, itinerary adjustments, and related queries

Organization & Planning

  • Organise team events, research venues, and provide budget recommendations
  • Assist with employee onboarding, including office induction tours and health & safety briefings

Requirements

✔ Experience in hospitality, customer service, office administration, or similar roles ✔ Strong interpersonal skills with a customer-first mindset ✔ Exceptional organisation and ability to manage multi-tasking independently ✔ Comfortable with administrative tasks and logistics coordination ✔ Proficient communicator, versed in face-to-face, phone, and email interactions ✔ IT-literate with good problem-solving skills and attention to detail
