Operations Assistant – Join the Quantum Revolution
We're looking for a proactive and people-focused Operations Assistant to help create a smooth, welcoming and well-organised workplace experience for our teams and visitors. This role is ideally suited to someone with experience in office management, hospitality, or customer service, who enjoys supporting people, solving problems, and keeping operations running efficiently behind the scenes.
About the Role
This is a hands-on, front-facing position that supports day-to-day office operations and facilities coordination across the business. Working closely with the Facilities Operations Manager, you will:
- Ensure our office environment remains safe, organised, and fully operational
- Deliver an excellent experience for employees, visitors, and external stakeholders

What You’ll Be Working On
- Front-of-house and office operations: Orchestrate the smooth running of the workplace environment
- Visitor and concierge support: Manage queries, parking requests, security concerns, and services via phone, email, and in-person interactions
- Office supply management: Conduct stock checks and order essentials (stationery, food, beverages) within budget
- Event and meeting logistics: Arrange catering, layouts, and logistics for internal and external attendees
- Travel assistance: Support employees with business travel bookings, itinerary changes, and queries
- Employee onboarding: Facilitate office tours, inductions, and health & safety briefings
- Team engagement: Plan and coordinate team events, venues, and budgets
What We’re Looking For
We want someone with a mix of people skills and administrative efficiency. Key requirements:
- Experience in hospitality, customer service, office administration, or similar people-focused environments
- Strong interpersonal and stakeholder management skills, with a customer-first mindset
- Excellent organisation and multi-tasking capabilities to manage tasks independently
- Confidence in administrative coordination and logistics
- Effective communicator, comfortable with face-to-face, phone, and email interactions
- IT-literate, with good problem-solving and attention to detail

While not essential, these skills would be valuable:
- Experience with travel booking coordination
- Knowledge of health & safety or fire safety processes
- Event planning or project coordination experience
