About the Role
We are seeking a highly organised and detail-oriented Client Services Administrator to join our growing team of legalisation consultants. This role is crucial to ensuring the smooth and accurate processing of client documents for international use. You will be the client's primary point of contact, guiding them through the complex process of document authentication and ensuring their needs are met with professionalism and expertise. This is a long-term career opportunity with growth potential within our company.
Key Responsibilities:
- Manage client interactions from the initial inquiry through document completion, providing clear, concise guidance throughout the process.
- Review and assess client documents to determine the appropriate authentication and legalisation requirements.
- Provide accurate quotes, manage bookings, and ensure timely service delivery.
- Generate invoices, process payments, and assist with basic financial tracking.
- Maintain meticulous records of client interactions and document progress.
- Liaise with government agencies, embassies, and consulates as needed (travel within London is required).
- Maintain quality control of prepared documents.
- Assist with the preparation and binding of documents.
- Manage incoming and outgoing mail and courier services.
- Contribute to the ongoing improvement of internal procedures and processes.
- Provide general administrative support to the team as needed.

Skills and Qualifications:
- Exceptional organisational and time-management skills, with a proven ability to prioritise tasks and meet deadlines in a fast-paced environment.
- Meticulous attention to detail and a commitment to accuracy.
- Excellent written and verbal communication skills, with the ability to explain complex information clearly and concisely.
- Strong customer service orientation and a professional, helpful demeanour.
- Proactive and resourceful, with the ability to work independently and as part of a team.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Experience in a client-facing role, preferably in a consultancy or service-oriented environment.
- A demonstrable commitment to providing exceptional service and building long-term client relationships.
- The ability to handle sensitive and confidential information with discretion.

What We Offer:
- A competitive salary of £28,000.00 per year, commensurate with experience.

Schedule:
- Monday to Friday, office-based.
