Operations Assistant

About the Role

Due to upcoming maternity leave, Wax London is searching for an Operations Assistant to join our dynamic team at our Camden head office.

Reporting to the Operations Manager alongside another Operations Assistant, you will support the full logistics cycle of our omnichannel business.

This position is ideal for:

  • Someone who has some experience looking to pivot into operations, supply chain, or logistics
  • A recent graduate eager to build their career in these fields

Key details:

  • Salary: Competitive, suited to experience
  • Perks: Staff discount + summer hours
  • Leave: 26 days annual leave + bank holidays (pro-rata as applicable)
  • ** Hours:** 35 hours per week, 09:30–17:30 (hybrid model)

Key Responsibilities

  • Retail supports: Handle Wax store orders, including raising items in the ERP (Enterprise Resource Planning), tracking, management, and internal communications.
  • Stock movements: Assist in outbound logistics to wholesale clients and inbound receipts from suppliers—raise Advanced Shipping Notifications (ASNs) in ERPs and Monday.com.
  • Freight & costing: Maintain accurate freight costings in the ERP system.
  • Logistics coordination: Work with three global warehouses to manage inventory commitments; resolve or escalate stock and logistics issues.
  • Supplier & supplier liaison: Coordinate sample shipments with suppliers and support the Marketing Team with PR order fulfilment.
  • Customer service: Aid the Customer Service team for returns, refunds, and general queries.
  • Administration: Assist the Operations Manager with any ad-hoc responsibilities.

The Ideal Candidate

We look for: ✔ Experience in supply chain, logistics, planning, customer service, or administration (valued but not mandatory). ✔ Strong written and verbal skills to build relationships internally and externally. ✔ Exceptional organisational skills with the ability to blend multiple priorities in a fast-paced environment. ✔ Fluency with Microsoft Office (intermediate proficiency). ✔ Hyper-detailed attention and data accuracy at every step. ✔ A proactive mindset in problem-solving and drive for continuous improvement. ✔ Previous freight/export or ERP experience is beneficial but not required—learning is encouraged.
